Administrative Support Coordinator I

*** Temporary Position for 1 year with possible extension. ***

Support for CI Solutions: Provides operational support for CI Solutions, including the MVS Ambassadors program, and assists with project management. Works with a diverse group of community partners, students, alumni and other stakeholders and conducts business with a high degree of professionalism, discretion, and confidentiality. Manages operational teams for the continuity of the CI Solutions program and its projects. Provides support and assistance for projects on an as needed basis. Tracks student hours for payroll, and prepares and submits human resources and payroll documentation. Holds and attends meetings for CI Solutions. Provides support for CI Solutions events including but not limited to: the President’s dinner/events, Dodger Day, Alumni Dinners, Santa Rosa Island Research Station Strategic Retreat, Partner celebrations, etc. Maintains supplies for CI Solutions (e.g., reordering branded merchandize, flyers) and keeps track of inventory. Ensures followthrough on projects with clients and students through satisfaction surveys or exit interviews. Assists in hiring new students, maintaining the website and managing all other channels. Assists in the preparation and compilation of reports related to operations, assessment, grants, and gifts, ensuring accuracy and timely submission.

Administrative Support for MVS School: Provides administrative support for the day-to-day operations of the MVS School. Examples of duties may include but are not limited to: ordering and maintaining supplies; processing work orders for maintenance requests, building key and code requests; troubleshooting office technology problems and systems; preparing reports and other documents; and maintaing and archiving electronic records and files. Works with faculty to help with daily needs such as printing, unlocking offices and classrooms, etc. Assists with submitting forms to finance, purchasing, accounts payable, HR, and payroll. Assists with preparing administrative reports, forms, letters, memos, other correspondence and materials. Assists the MVS staff in planning, organizing, and staffing MVS School events. While working independently, as well as in a team, upholds the highest standards of customer service for internal and external constituents by embodying the values of collegiality, inclusivity, respect, efficiency, and accuracy. Supports the MVS School staff by maintaining awareness of the school’s operational needs and provides assistance to the Administrative Support Coordinator II and Budget & Administrative Analyst as needed.

Other Duties: Responsible for maintaining currency with administrative policies and procedures by attending relevant meetings and training for job-related responsibilities. Serves on committees, task forces, and other groups as assigned. Performs other related duties as assigned in support of the MVS School and the Division of Academic Affairs.

REQUIREMENTS OF POSITION:

Minimum of one to two years of administrative experience, or a combination of education and experience, bachelor’s degree in a related area. Experience with project management preferred.

Ability to work professionally, collaboratively, and collegially with a diverse population of faculty, staff, administrators, students, and other internal and external constituents. Ability to respond to a high volume of walk-in, telephone, and email inquiries on a daily basis with a high degree of professionalism, discretion, and confidentiality. Ability to work independently with a high level of accuracy, efficiency, and attention to detail. Must be a highly motivated and organized individual who is able to manage multiple tasks, work effectively with minimal supervision, and show initiative. Must be flexible and responsive to changing priorities and work assignments. Ability to prioritize and set reasonable goals to accomplish various projects in a timely manner. Excellent verbal and written communication skills. Intermediate to advanced proficiency with computers, Microsoft Office Suite, Adobe, and familiarity with learning new programs in support of responsibilities. Possess strong research and data analysis skills. Knowledgeable of social media platforms and website management. Punctuality and regular attendance are essential. May be required to work evenings or weekends with advance notice.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

Hiring Range: $4,000 - $4,200 per month
