Job Description

Basic Function
Provides entry-level administrative support to multiple teams or a department for various programs and projects.
Example Of Duties
  • Assists in performing administrative and organizational analysis and participates in projects, budgeting, and administration
  • Conducts research studies and collects data for management reports and programs
  • Responds to inquiries for information from staff, management, and the public
  • Troubleshoots software and basic hardware problems
  • Prepares reports and correspondence
  • Maintains and updates reference and procedural materials and computer databases
  • Assists in developing policies and procedures
  • Reviews and approves invoices
  • Catalogs, orders, organizes, and disburses reference and technical materials
  • Purchases manuals and materials for the department; reviews and processes requisitions and invoices
  • Performs analytical work in support of a department's business
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out
    May be required to perform other related job duties

Requirements For Employment
A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

Education
  • Bachelor′s Degree in Business, Public Administration, or a related field
Experience
  • None required
Certifications/Licenses/Special Requirements
  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
Preferred Qualifications

Preferred Qualifications (PQs) are used to identify relevant knowledge, skills, and abilities (KSAs) as determined by business necessity. These criteria are considered preferred qualifications and are not intended to serve as minimum requirements for the position. PQs will help support selection decisions throughout the recruitment.   • Experience utilizing Microsoft Suite in an administrative capacity to prepare high level memos, email correspondence, and presentations.
  • Experience with administrative duties such as maintaining organized files, archiving documents, and creating correspondence/meeting minutes.

  • Theories, principles, and practices of budget or grant planning
  • Basic accounting and budgeting principles and processes
  • Office operations and procedures
  • Research and report preparation methods
  • Mathematics and business statistics
  • Applicable business software applications

Skills:
  • Performing basic statistical and financial analysis
  • Analyzing situations and identifying problems
  • Communicating effectively orally and in writing
  • Preparing reports and correspondence
  • Interacting professionally with various levels of Metro employees and outside representatives
  • Operating computers and general office equipment
