Under general supervision of the Office Coordinator, act as the primary Center receptionist, greeting visitors, children and families, maintains inventory, and orders office supplies, performs general office work and performs related work as required.

Duties

Data Creation, Collection, and Organization: Data entry for all computer documentation programs including child and family assessment programs, enrollment and attendance, and billing programs. Assist Office Coordinator in assigning work to student office assistants, plan and coordinate clerical work activities, provide lead work direction and/or training, and assist others in work process and procedures. Create contracts for full cost families, documenting child’s scheduled days and hours of enrollment.

Program & Parent Involvement: Prepare and participate in recruitment events to promote the services of the Children’s Center. Provide program information and tour prospective families. Participate in the organization of and act as the secretary to Parent Advisory Committee providing. Format and distribute Children's Center newsletter to parents and staff.

Quarterly Reporting: Prepare accurate child attendance quarterly report for CA Department of Education. Reflect attendance based on age group, English language learners and children with IEP or IFSP.

General Office Duties: Reception duties including answering phones, greeting parents, and scheduling for children and visitors. Assist in maintaining all waiting lists for families requesting Center enrollment. Assist in maintaining personnel files and family files. Ensure that all required documentation is present and up to date. Assist with daily changes to Center staffing to ensure appropriate teacher child ratio in each classroom. Maintain inventory of all office supplies, ordering as needed.

Additional Knowledge, Skills, and Experience

Associates Degree from accredited college.

Knowledge in general office procedures and work methods

Pay, Benefits, & Work Schedule

The position hiring range: $20.24 - $28.36 per hour.

The anticipated hiring range: $20.24 - $28.36 per hour, dependent upon qualifications and experience.

HOURS: Full-Time 40 hours per week; schedule is Monday - Friday. There is no remote work opportunity with this position.
