OVERVIEW

About our team:
As the Area Agency on Aging, we exist to serve the needs of older or disabled adults, their families and caregivers residing in Kitsap County.
Our Mission is to work independently and through community partnerships to promote the well-being of older adults, people with disabilities, and their caregivers.

About our position:
Under the direction of the assigned supervisor, the incumbent performs a blend of fiscal accounts payable technical support, agency timekeeping grant assignments, Workday travel and mileage reimbursement and other associated fiscal activities, assistance with new subcontractor applications, application renewals, and monitoring of subcontractors.

Coordinating activities and performing word processing, spreadsheet, and database functions requires the ability to accomplish assigned work rapidly and accurately, to work with a variety of people, and to check completed work and correct any errors.

Work assignments are performed with minimal supervision and the incumbent shall exercise independent judgment within established guidelines. The incumbent is expected to carry out assignments according to federal laws, state statutes, local ordinances, and established contractual and departmental standards, policies and procedures.

QUALIFICATIONS FOR PERFORMANCE OF THE ESSENTIAL FUNCTIONS

REQUIRED EDUCATION AND EXPERIENCE:
  • High school diploma/GED AND
  • One year of general clerical experience which includes at least six months of accounting/fiscal related experience OR
  • Any equivalent combination of experience and education that provides the applicant with the desired knowledge, skills and ability required to perform the work.
PREFERRED EDUCATION, EXPERIENCE, OR QUALIFICATIONS:
  • Working knowledge of Washington State Aging Services and Supports Administration systems and reporting systems.
  • Experience utilizing MS Office Suite
  • Experience using Workday (WD) or other financial system software.

ILLUSTRATIVE EXAMPLE OF DUTIES

In this role, you will have the opportunity to:
  • Accounts payable activities that include WD data entry of assigned grant codes for subcontractors to ensure accurate grant assignment; tracking and processing invoices; provide technical assistance to subcontractors for invoicing.
  • Timekeeping activities that include review for accuracy of staff timekeeping in WD; reconcile pay and leave balance discrepancies; answer inquiries and take action related to County internal payroll review.
  • Contract monitoring subcontractor activities that include assistance with review of contract compliance for employee training and report writing; tracking contract requirements and timelines; research regulations, policies and laws.
  • Processing Medicaid Waiver contract application that include tracking on contract required documentation, screening application for completeness and processing.

Vacation Leave
New employees are credited with 48 hours of annual leave upon hire and will be begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 360 hours from one calendar year to the next. Annual leave accrual will increase upon tenure, as follows:

Upon completion of 3 years: 15 days per year (10.00 hours per month)
Upon completion of 5 years: 20 days per year (13.33 hours per month)
Upon completion of 10 years: 25 days per year (16.67 hours per month)
Sick Leave
All new hires will be credited with 48 hours of sick leave upon hire and will begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 1200 hours from one calendar year to the next.
