Senior Office Assistant-Division of Rural Affairs

Position Description
Performs clerical duties of a specialized or technical nature, which may be performed in a variety of settings. Responsibilities may include basic bookkeeping, typing, word processing, filing, sorting, posting, verifying, recording, and data coding and processing of moderate complexity. A general understanding of organizational policies and procedures and some expertise in the area of assigned work is required. Duties are performed under direction within established policies and procedures with job performance based upon completion of assigned tasks.

Major/Essential Functions
  • Assist with department business staff with purchasing and other items, as needed. Completes procurement card transactions, POs, and other financial documents, as required.
  • Prepares travel documents, amends travel requirements while traveler is traveling and completes travel vouchers upon return. Occasionally coordinates travel arrangements for directors and supervisors.
  • Coordinates, priorities, and schedules routine and emergency appointments.
  • Assures Director and other staff have necessary information for meetings, conferences, and other activities.
  • Prepares agenda, gathers documents and information, and prepares minutes for meetings, as requested.
  • Assures Director has necessary information for meetings, conferences, and other activities.
  • Answers phones, processes incoming and outgoing correspondence and tracks status of all correspondence.
  • Draft, proof, edit correspondence, speeches, independently for readability, grammar, punctuation, spelling; and replies to correspondence, as assigned.
  • Maintains accurate and timely filing system including shredding items and digitally scanning.
  • Completes special assignments with latitude to exercise independent judgment. Assists with planning and implementation, as required.
  • Places work orders and housekeeping calls and coordinates calls, repairs, and coordinates calls, repairs, and cleaning as needed for work spaces, office equipment and technology services.
  • Make arrangements for official guests and receives visitors, as required.
  • Ability to plan, organize and control the work of multifaceted office.
  • Proficiency in Microsoft office applications (Word, Excel, PowerPoint,).


Required Qualifications
Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent. One year clerical experience. Additional education and/or related experience to equal one year may substitute on a year for year basis.
