Administrative Support Coordinator I

RESPONSIBILITIES & DUTIES:

Program Support: Coordinates a range of projects and provides administrative support for the day-to-day operations in support of EU academic programs in collaboration with the program director. Processes a high volume of email, telephone calls, and walk-in visitors and conducts business with a high degree of professionalism, discretion, and confidentiality. Assists to find resolutions to administrative problems, operational situations, procedures, and practices in support of student centered program processes. Assists to prepare administrative reports, forms, letters, memos, minutes, agendas, and other required documents. Assists with development and organization of reports related to the program, including but not limited to community relationships, assessment outcomes, grants, and accomplishments. Collaborates with the Associate Dean and Academic Director to coordinate purchases, travel, and events for program through the EU finance team. Coordinates with the Associate Dean and Academic Program Director to support planning around course schedules, calendaring with stakeholders, faculty, and students; communicating with students, and collaborating with the broader EU staff roles supporting the student life cycle processes (e.g. recruitment, admissions, enrollment, student finance). Supports the program director with communication around student advising following program roadmaps and referrals to general education advisors. Collaborates with the Academic Program Director to presents information sessions for the program to students and to community college guidance counselors.

Events/Communication: Assists with internal and external program related events and meetings, including communication of input on design of flyers and advertisements, promotion, monitoring RSVPs, handling registration, hospitality, and day-of logistics. Assists Academic Program Director with events, activities, and communication. Suggests and communicates updates for the program content on the EU website. In coordination with Academic Program Director(s), leads the information sessions for the program.

Other Duties: Responsible for maintaining currency with administrative policies and procedures by attending relevant meetings and trainings for job-related responsibilities. Serves on committees, task forces, and other groups as assigned. Performs other related duties as assigned in support of the Extended University Academic Programs.

REQUIREMENTS OF POSITION:

Education: Bachelor’s degree preferred. Minimum of two years of administrative experience, or a combination of education and experience.

Experience: Must have excellent organizational, verbal, and written communication skills. Must be flexible and responsive to changing priorities and work assignments. Knowledge of and ability to learn new technologies used in office settings Excellent public relations skills using proper etiquette both electronic and interpersonally. Ability to work professionally, collaboratively, and collegially with a diverse population of faculty, staff, administrators, students, and other internal and external constituents. Ability to communicate clearly, professionally and calmly with people expressing frustration. Ability to keep updated records, work with a high level of accuracy and attention to details. Ability to contribute to improvement of systems for organization of many variables (e.g., maintain accurate and detailed reports and records). Ability to take the initiative to solve or improve problems and situations proactively with some supervision or direction, with the ability to prioritize and set reasonable goals to complete tasks in a timely manner. Ability to reach out to appropriate sources to get the resources or find information needed to be successful. Comfortable using the internet to research and obtain information related to assigned projects. Ability to interpret and apply University policies and procedures. Ability to respond to a high volume of walk-in, telephone, and email inquiries on a daily basis with a high degree of professionalism, discretion, and confidentiality.

Other Knowledge/Skills:: Intermediate to advanced proficiency with computers, Microsoft Office Suite, Adobe, and familiarity with learning new programs in support of responsibilities. Knowledge of applicable University infrastructure, policies and procedures is preferred.

Hiring Range: $3,680 - $4,410 per month
