About the Position:

The College of Engineering and Computer Science (ECS) is committed to educating engineers and computer scientists who will graduate with state-of-the art knowledge in their chosen field and are ready to embark on careers in industry and government or proceed to acquire advanced degrees in their own or related fields. We seek an exceptional individual to join our team as the Civil, Environmental, and Mechanical Engineering Coordinator (Administrative Support Coordinator II). Provides Finance and Human Resource administrative support primarily for the departments of Civil and Environmental Engineering and Mechanical Engineering. Provides support to other Engineering departments and programs as needed. Provides professional and confidential support to Civil and Environmental Engineering and Mechanical Engineering Department Chairs on a number of sensitive matters, including faculty evaluations, faculty searches, faculty and student assistant contracts, and budget-related activities coordination. Performs a full range of additional office tasks and clerical support as needed for department operations. Provides coordination between the Civil and Environmental Engineering and Mechanical Engineering departments, other engineering departments and programs as needed, the Engineering and Computer Science, Dean’s office, and the University campus at large (e.g., Finance, HRDI, Payroll, Physical Plant, Contracts and Procurement, Faculty Affairs and Records, Student Financial Services, etc.) and as a backup for Academic Program work and Scheduling. Works independently on the majority of the assigned tasks to resolve daily problems using judgment and creative solutions. Performs work on projects with varied complexity. Engages in a broad range of interpersonal contacts. Collects and processes survey forms for quality control purposes. Performs other tasks assigned by the department chairs, program coordinators, or the Dean’s Office. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Previous clerical/administrative support experience in an academic environment at a university level is preferred. Knowledge and/or experience using Content Management System/PeopleSoft preferred.

License/Certifications

A Valid California Driver’s License. Personal means of transportation are required to run off-campus errands.
