About the Position:

Faculty Affairs and Records strives to provide services and support to faculty, administrators, and staff on the implementation of campus policies and procedures for the evaluation of academic employees. It is our goal to administer academic employment processes effectively and efficiently and to serve as a resource for faculty throughout their Cal State Fullerton careers. We seek an exceptional individual to join our team as the Faculty Affairs Retention, Tenure and Promotion Administrative Support Coordinator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under minimal supervision, the Administrative Support Coordinator II for the Office of Faculty Affairs and Records coordinates and manages the office operations and workflow. This includes advising the Retention, Tenure, and Promotion Analyst and the Director of the status of ongoing projects of the office and improvements that need to be adopted. Coordinates and provides professional support to the Retention, Tenure, and Promotion Analyst, Director, University Administrators. faculty, and staff. Coordinates and manages the Retention, Tenure, and Promotion evaluation process and procedures. Researches and resolves various complex situations with practical solutions. Establishes and interprets policies and procedures relative to efficient office operations. Acts as lead for front office staff and provides appropriate training. Provides support to the Faculty Personnel Committee by staffing and organizing semester meetings. Responds to detailed requests from the committee and provides resolutions accordingly. Provide timely and accurate support to Faculty Affairs and Records constituents by answering emails, phones, and forwarding queries to others as needed.

Serves as Department Information Technology Coordinator for Faculty Affairs and Records and as the liaison to the Office of the Provost/Vice President for Academic Affairs. The Faculty Affairs Retention, Tenure and Promotion Administrative Support Coordinator II must exercise discretion and judgment in dealing with all Faculty Affairs and Records processes due to the highly sensitive and confidential nature of the information and materials. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Experience in higher education. Knowledge of the faculty evaluation process.
