Job/Department Summary:

This position provides a full range of moderate to complex secretarial and front-line administrative support for WellCat Services (WCS), WellCat Counseling Center, WellCat Prevention, and WellCat Safe Place. This position works relatively independently with general instruction provided by Director WellCat Counseling Center or designee. Incumbent is often the first person to interact with a student in crisis, requiring immediate assessment and response. This position interacts with students, staff, and faculty, over the phone, by email, and in person, including victims and survivors of sexual assault, intimate partner violence, stalking, students seeking information on substance misuse prevention, and those interested in positive mental health behaviors. As such, this position requires excellent judgment and strong interpersonal skills to respond appropriately to sensitive, complex, and confidential situations. Administrative support includes, but is not limited to: answering phones and interacting with students, staff, and faculty in various WCS office and clinic spaces; supporting directors, managers, and administrators within WCS; event coordination; organization of common workspaces; processing student payroll; creating and tracking orders for office and other supplies; reconciling and preparing financial data; preparing correspondence and reports; tracking and maintaining referrals; scheduling appointments; and maintaining informational databases, including electronic medical record systems. Incumbent will also assist with the development and implementation of effective procedures to coordinate the operations of the front office and systematize office procedures and facilitate cross-training with equivalent positions. This position processes a large volume of electronic medical records and correspondence, which requires specialized software, as well as a high level of accuracy and confidentiality.

Required Education and Experience:

This position requires experience to be proficient in performing most or all work assignments and should include administrative support, coordinating and prioritizing many different clerical tasks, applying and communicating policies and procedures. These qualifications, and those listed above, would normally be obtained through completion of a high school program or its equivalent and two years recent experience in an office environment.

Time Base: Full-time- 1.0

Pay Plan: 11/12 (January Off)

Work Schedule: Mon-Fri 8:00am-5:00pm, Summer - Mon-Thurs 7:00-5:30.

CSU Classification Salary Range: $38,556 - $56,748 per year.
