$4,830.00 Per Month ($57,960.00 Annually)

Position Summary

The Data Integrity Coordinator is responsible for maintaining the integrity of the constituent database, along with the need to analyze, design, create, and disseminate accurate philanthropic productivity reports, extract data for analysis and/or communication purposes, ensure accurate data cleanup, data mapping, implementation, testing, and validating. He/she serves as the project coordinator for data cleanup projects and other efforts related to researching and updating incomplete or missing information on alumni and donors. Additionally, he/she creates scripts and queries to extract data for data-cleansing, data optimization to identify and resolve data issues. In consultation with the Senior Director of Advancement Services, he/she will be responsible for driving adoption of Generative Artificial Intelligence (AI) tools, which will provide advanced analytic techniques and real-time data insights for predictive modeling for funding potential. This position reports directly to the Senior Director of Advancement Services.

Under general supervision, the Data Integrity Coordinator performs a range of data cleanup and integrity projects. The incumbent must maintain high work standards, produce error-free output, and exercise discretion and tact in dealing with highly confidential information. He/she is responsible for reviewing/auditing work to ensure integrity and must possess the ability to resolve data issues and make recommendations as to courses of action. The position will handle data formatting, data entry and in-depth review and analysis of annual philanthropic reports. The coordinator is expected to work cooperatively and effectively with administrators, other staff, donors, outside vendors, consultants and students. This position requires extreme attention to detail, follow through, and the ability to handle multiple tasks with minimal supervision. The incumbent may assist with assigning tasks to student assistants, as required.

Position Information

Data Cleansing and Entry
  • Oversees data integrity of all alumni, donor, and constituent records.
  • Plans and organizes data cleanup projects.
  • Updates donor and alumni records.
  • Assists IT Manager with testing new applications to ensure existing data is correctly transferred and displayed within the new application.
  • Works with the IT Manager on facilitating the bi-annual new alumni uploads, including appending missing Minor degrees and certificates and creating new codes.
  • Assists users with questions and requests for changes to reports, dashboards, exports, etc.
  • Maintains and updates related policies and procedures documentation.
  • Evaluate and update the contents of the CRM donor database system, and maintain the accuracy and integrity of donor, alumni, and other contact data;
  • Identify, analyze, and perform data cleanup by creating scripts and programs to extract data for data cleansing and enhancement;
  • Access data in the Microsoft SQL Data Warehouse for integration with Power BI or Tableau reporting and analytics.

Data Maintenance
  • Conducts cyclical data audits to ensure compliance with established data standards.
  • Performs security scans and installs security software patches.
  • Develops and maintains efficient systems for data cleansing.
  • Ensures and maintains the highest standards of data integrity for alumni, donor and constituent records.
  • Executes data appends as Project Administrator for the quarterly Faculty/Staff list from HR, including updates to records i.e. status, department, title, retired, emeriti, etc.
  • Serves as the lead advisor for staff responsible for maintaining and enhancing alumni and donor data.
  • The Data Integrity Coordinator will monitor the CRM vendor platform product updates and periodically report to the team any product releases, functionality changes or data optimization enhancements.

Other Duties as assigned
  • Develops processes and policies to support data quality and integrity.
  • Responds to special requests; coordinates with vendors; and assists with other Advancement Services functions.
  • Stays abreast of current emerging technologies in philanthropy, fundraising, higher education, data and prospect analysis, predictive modeling, engagement scoring, and business intelligence.}

Minimum Qualifications
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications

BA/BS degree or equivalent work experience in accounting, business administration, information technology, or related field. Computer skills including database and/or CRM knowledge/experience imperative. Advanced experience with MS Excel (creating pivot tables/VLOOKUPs). Must be detail-oriented and possess superior analytical skills and the ability to troubleshoot and problem solve. Candidates should possess excellent written and oral English language communication skills, be able to follow written instructions, and exercise independent judgment in problem-solving. Experience with Tableau or Microsoft Power -BI is preferred.
  • Experienced and comfortable using automated data sources (e.g., NCOA, Accurint /, Campus Solutions) and sources requiring individual record look-up.
  • Experienced self-starter capable of working relatively autonomously.
  • 4+ years technical/administrative work involving collecting, recording and analyzing data.
  • SQL or programming/scriptwriting experience.
  • Able to perform full range of work related to maintenance and deployment of departmental and CSU database policy and procedures, research, analysis, development, evaluation, and/or operational and fiscal analysis related to a data integrity specialty.
  • Applies theoretical knowledge to develop recommendations to senior management on operational or fiscal impact of data projects and appropriate actions to mitigate risk.
  • Proactively assesses and provides metric-based reports to gauge personal progress on assigned responsibilities.
  • Advanced computer skills with database knowledge/experience.
  • Superior analytical skills.
  • Ability to collect/record/analyze data, make accurate projections, and use basic statistical techniques.
  • Ability to organize/plan work and projects; compile/compose/present reports; troubleshoot and problem solve.

  • Experience in educational or non-profit institution preferred.
