About the Position:

The Career Center strives to engage the Cal State Fullerton (CSUF) student body to actively prepare for their future by providing guidance, sharing resources, connecting with employers, and instilling confidence. We facilitate student success in a diverse and competitive global society. We seek an exceptional individual to join our team as the Employer Relations and Front Desk Coordinator (Administrative Support Coordinator II). Under the general direction of Associate Director of Employer Relations, the Employer Relations and Front Desk Coordinator provides coordination, and administrative support functions to the Career Center, and is a member of the Career Center’s Employer Relations Team. Supports the Associate Director of Employer Relations in developing and coordinating surveys to assess the success, and areas of improvement in relation to employer recruitment efforts. Supports the employer relations team in coordinating comprehensive employer recruitment efforts, such as the on-campus interview program and other career-related events/services utilizing Symplicity the Customer Relationship Management (CRM) database utilizing kiosks within the system. Drafts and coordinates, information to disseminate employment/recruitment opportunities, programs, services to students via print, online, email, and the like. Utilizes Symplicity the on-campus interview information system to record, track, evaluate and approve new registrations, job postings, on-campus interviews, and information sessions, and the like. Utilizes university systems to support email communications, announcements, promotion, and marketing of key employment opportunities, programs, and services.

Provides front-line excellent customer service to employers, students, and on and off-campus constituents. Interacts with employers and students to ensure a successful on-campus interview experience. Independently troubleshoots and resolves problems for customers. Makes referrals to appropriate staff and schedules appointments, maintains daily office schedules. Coordinates walk-in traffic, including walk-in counseling, computer lab, and career library. Oversees student assistants. Coordinates internal office activities and requests to other campus service units. Serves as a point of contact to students, employers, and the university community as it pertains to employer recruitment efforts and other inquiries that fall under the realm of the employer relations team, which includes but is not limited to: On-Campus Interviews, Employer Information Sessions, Job Postings, Recruitment events, Titan Job Shadow Program and other employer recruiting events and career center programs/services. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Previous years of increasingly responsible clerical support experience in a high traffic deadline-driven customer service environment. Experience in a team-oriented setting preferred. Skill in independently researching questions and making appropriate contacts for problem-solving. Use of basic features in Excel for graphing and charting. Proficient in Microsoft Office Suite and Outlook Skill in making appropriate job decisions following established policies and past practices.

License/Certifications

A Valid California Driver’s License.
