Position Summary

Under the general direction of the Department Chair, the Administrative Support Coordinator II (ASC II) serves as lead administrative support for the Department of Art. The incumbent is responsible to provide administration and support for the business operations of the department, including budget management, building and maintaining the department’s course schedule, faculty workload, and overseeing travel requests and reimbursements. The position is responsible for facilitating lecturer hiring, entitlement tracking, contract generation, and maintaining personnel files.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $3,865 per month - $4,100 per month

CSU Classification Salary Range: $3,865 per month - $6,336 per month

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

Demonstrated ability to analyze operations and procedures, and to collect, evaluate, and interpret data to make appropriate recommendations. Demonstrated ability to interpret, apply, and communicate policies and procedures independently, using sound judgement and discretion. Experience administering, tracking, and reconciling a complex budget consisting of multiple sources of revenue and expenses. Experience in purchasing and procurement (i.e. requisitions, reconciliations, reimbursements, and travel claims). Experience with personnel transactions and preparing human resources related processes (e.g., employment contracts, scheduling, absence management, etc.). Experience maintaining sensitive and confidential information, and demonstrated ability to use discretion regarding confidential matters. Proficient use of common office equipment (i.e.: computer, fax, copier, printer, digital phones, scanner, etc.) and software including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, Zoom, etc. Demonstrated ability to prepare professional documents in different modalities and file formats. Demonstrated ability to anticipate, assess, and resolve standard office administration problems. Demonstrated ability to organize and prioritize multiple time-sensitive tasks, and complete them with a high degree of accuracy while handling frequent interruptions. Experience in training and lead work direction of staff, and working in teams.

Preferred Qualifications

Experience with event planning and coordination. Knowledge of gallery & exhibition practices. Experience in academic schedule building. Experience in working with the creative community and/or scholars and artists in the creative fields.
