    As an employee in the Division of Business and Financial Affairs, you will be in the business of serving SDSU, helping to support a division that oversees business operations, budget and finance, housing, human resources, planning and development, and much more.

    As the Executive Assistant, you will provide direct support to the Vice President for Business and Financial Affairs, and Associate Vice President of SDSU Mission Valley, acting as a key representative and liaison within and outside the campus community. Your role will be essential in ensuring smooth operations and effective communication.

    Key Responsibilities:
    • Executive Support: Provide comprehensive administrative support to the Vice President and Associate Vice President, managing complex meeting and travel schedules, and maintaining budgets and expenses. Respond to requests for information, support requests for proposals, and produce agendas and minutes for various committees.
    • Project Management: Assist the Vice President and Associate Vice President with special projects.
    • Team Management: Supervise and manage office administrative support staff, ensuring efficient day-to-day operations and appropriate office coverage.
    • Liaison Duties: Serve as the primary liaison with the Office of the President and other divisions, facilitating seamless communication and collaboration.
    • Coordination: Assist in coordinating special events such as the division-wide meeting, holiday event, retirement celebrations, Explore open house, and Housing Move-in Day.

    Position Information
    • This is a full-time, permanent/probationary role, offering comprehensive benefits.
    • Position is designated exempt under FLSA and is not eligible for overtime compensation.
    • Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
    • This position is approved for partial telecommuting with onsite work in San Diego.

    Department Summary

    The Office of the Vice President oversees the Division of Business and Financial Affairs. It is responsible for managing the financial, human, building, and ground resources of San Diego State University and for providing support services to the campus community. Additionally, the Vice President oversees certain aspects of SDSU Mission Valley, KPBS, Athletics and Aztec Shops. The division is comprised of a large and diverse portfolio of functions:

    Education and Experience
    • Bachelor’s degree or equivalent combination of education and experience.
    • Five or more years of hands-on, reliable experience providing a high level of administrative support, consistently delivering quality results and building a trustworthy reputation within the organization.

    • Experience coordinating and supervising office staff, ensuring a supportive environment where all team members are included, empowered, and held accountable.
    • Proven ability to provide administrative support to senior leadership or management, collaborating with teams to achieve common goals and enhance efficiency.
    • Expertise in Microsoft Suite and Zoom, with some experience using AI, reliably using these tools to streamline operations and improve productivity.
    • Skilled at planning ahead and organizing with precision, maintaining clear and accurate reports and records.
    • Demonstrated resourcefulness in anticipating, identifying and resolving issues with minimal direction.
    • Strong communication abilities, effectively reaching diverse audiences with clarity, respect, and an inclusive approach that encourages open dialogue.

    The expected hiring salary for this position ranges from $90,000 to $104,000 annually.
