    Introduction

    Provides administrative assistance and support to management. Performs a broad range of administrative functions and assignments involving independent judgment and initiative. The position requires strong customer service skills, attention to detail and accuracy, knowledge of check requisitions, purchase orders, time management and prioritization. Candidate must be adaptable as the position may move from one division to another within the Fire Department as administrative support.

    ANTICIPATED STARTING SALARY MAY BE UP TO MID-POINT DEPENDING ON CANDIDATE'S EXPERIENCE AND INTERNAL EQUITY.

    Minimum Qualifications

    Education and Experience
    • High School diploma or General Educational Development (GED) equivalent is required.
    • Three years of experience in administrative support

    • Equivalency Statement:
      • Any equivalent combination of education and/or job-related experience that meets the minimum qualifications may be substituted
    Licensing, Certifications and Other Requirements
    • Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.
    Other pertinent licenses and/or certifications may be required of some positions depending on department/section assignment.

    Essential Functions

    Performs duties and responsibilities commensurate with assigned functional area which may include, but are not limited to, any combination of the following:

    ESSENTIAL FUNCTIONS:
    • Maintains documentation, statistical reports and project logs to document work procedures and monitor follow-up.
    • Greets visitors, screens and responds to incoming mail, e-mails, telephone calls, and voice mails for Executive Director, Administrator and/or Director.
    • Schedules conference rooms and arranges for press conferences and special management meetings.
    • Maintains electronic/engagement calendars and files for executive level management.
    • Operates a computer and utilizes relevant software applications.
    Office of Communication & Citizen Service Assignment
    • Provides Board & Commission administration support, including managing agendas, postings, documentation, reports, etc.

    • Most work is performed in a City office environment.
    • Lift and carry materials weighing up to 30 pounds.
    • Operate a variety of standard office equipment including a computer, telephone, calculator, copy and fax machines requiring continuous and repetitive arm, hand and eye movement.
    • Travel to/from meetings and various locations.
    • Attend evening meetings as needed.
