Missouri Commission on Human Rights

Hourly Rate of Pay: $19.50

You will assist the Executive Director in an agency with complex administrative responsibilities, and act as the Secretary to the Commission on Human Rights (MCHR) during quarterly commission meetings, you will work in a team environment that maintains positive working relationships and conducts duties with professionalism, courtesy, and respect. You will actively support the Missouri Commission on Human Rights mission to prevent and eliminate discrimination through education, outreach, and the enforcement of the Missouri Human Rights Act.

As a temporary clerk who will assist the Executive Director, this is a key position accomplished by a person who is professional, energetic, upbeat, courteous, discreet, responsible, trustworthy, creative, a team player, and a problem-solver. They will become a repository of information for MCHR and its activities and have the good judgment to know how and when to manage this information to support the Executive Director and the Commission.

What you will do:

  • Manage the day-to-day functions of a professional office to ensure efficient and effective operations by providing overall administrative and technical support to the Executive Director.
  • Manage calendars, scheduling, e-mails, mail, telephones, physical and electronic files, and training program.
  • Coordinate and implement the preparation of meeting room set-ups, distribution of Commission meeting materials, including preparing agendas, documents, and minutes for Commission meetings and other agency events.
  • Manage and maintain the Executive Director's calendar schedule. Familiarity with a broad range of contacts, groups, boards, programs, and special events with the ability to juggle priorities with professionalism and discretion.
  • Regularly answer and accurately screen calls and emails for Executive Director and convey timely messages.
  • Prepare, draft, proofread, and edit emails, letters, documents, and PowerPoint presentations as required.
  • Maintain and organize electronic and hard copy files, and time sheets for the Executive Director.
  • Provide administrative support for Executive Director’s commitments to professional associations, boards, commissions, agencies, divisions, and departments.
  • Work closely and proactively with the Executive Director to manage multiple timelines and due dates.
  • Plan and execute logistics for Commission meetings, board meetings, staff meetings, and trainings.
  • Preparation and distribution of meeting materials, agendas, meeting minutes, and ensure action item follow-up.
  • Secure meeting space and implement set-up, move tables and chairs, ensure virtual equipment and sound systems are in place and functional in a timely manner. Decorate meeting space appropriately and timely for agency events.
  • Make travel arrangements for the Executive Director and Commissioners as needed.
  • Manage confidential personnel and financial information with discretion.
  • Reconcile the Executive Director’s expense reimbursements monthly.
  • Coordinate and schedule requested trainings the MCHR, Director and other staff can provide for a fee.
  • Work on special projects and events as needed.
  • Order office supplies and outreach materials as needed.

  • 1 year of clerical experience

  • Understanding of the Missouri Human Rights Act (Chapter 213 RSMo).
  • High level proficiency with Outlook, Windows 10, Windows 365, Adobe Pro, Power Point, In-Focus Projector, Smartboard, WebEx, Teams, Google Meets, Poll Everywhere (or comparable system), and other office equipment.
