Assist in meeting and facilitate Department level process improvement and strategic initiative teams as set by the Planning Unit Manager and Section Director.

Serve as the primary monitor of process improvement initiative measures, collect data for outcome measures, assist with report development for team recommendations, monitor progress towards implementation, and prepare planning documents such as meeting minutes, process diagrams, and team reports as necessary for senior leaders. Work with division-level management and field supervisors to ensure project milestones are completed.

Provide technical assistance to teams as they develop recommendations for their projects. Assistance may include activities such as providing information about evidence based or best practices, developing SMART measures, identifying waste and value added activities, and establishing data collection systems.

Provide administrative support to the Section including scheduling meetings, producing minutes, meeting room set-up and supplies management. Opportunities to use Microsoft software and Tableau.

Provide assistance to the Grant Coordinator to process grant claims into Department accounting system, reviewing and processing bi-monthly payroll for all Federally Funded payroll recipients; log into spreadsheet, and notifying all personnel involved.

Provides IT Tech Support to the Section including putting in OAITSD tickets, calling OAITSD for resolution, putting together requisitions and acquiring quotes as needed.

Performs other duties as assigned.

Minimum Qualifications:

Four or more years of experience in analysis, program or policy development, facilitation and coordination duties, budget/fiscal management, or probation and parole case management, corrections case management, or clerical experience at the level of Lead Administrative Support Assistant or above, or closely related area.

(Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience, at a rate of 30 credit hours for one year)

Preferred Qualifications/Skills

Experience with SAMII and/or training in MOVERS

Advanced experience with use of Microsoft Suite, specifically in Excel.

Some positions are eligible for a shift differential of $173.34 semi-monthly, which is provided to employees with shifts that begin on or between 12:00pm (noon) and 5:00am, and who work at a 24/7 worksite (i.e. institution, transition center, supervision center, or command center), or whose work requires regular visits to these locations. If selected for interview, eligibility may be discussed at that time with the hiring manager.
