Job Description

Sr. Accounts Assistant - Department of Mental Health at NMPRC

This is an advanced vocational position accountable for maintaining specialized accounting record systems including resolving errors, balancing accounts, and records, and preparing reports. At this level, employees monitor and provide information about a variety of fiscal areas (e.g., grants, budgets, benefits, etc.) and analyze transactions to determine if complex accounting entries are accurate. Incumbents are also accountable for reviewing and processing complicated or contested transactions (e.g., payroll, accounts receivable/payable, travel expenses, collections, etc.).

Job Duties:

  • Point of contact at the accounting window to handle patient requests for funds
  • Process pink voucher requests
  • Daily deposit
  • Canteen entry/upload
  • Assist with processing medical bills
  • Assist Accounts Payable with inputting facility bills in fund encumbrance and putting together payment packets
  • Filing
  • Reconcile patient bank statement
  • Mail out checks that have been processed by CO to vendors
  • Assist CFO and potentially other departments in administrative duties that may include coordination of special events, picking up requested items in community, delivery of special items to requesting departments etc.
  • Fund Reconciliation
  • Bank statements
  • Audit safe, cash drawer
  • Update tracking sheet for fleet vehicle titles
  • Enter car wash totals on spreadsheet
  • Put together goodie bags for staff to celebrate different departments
  • Take pictures of surplus or disposal items and upload onto surplus website
  • Fill in as backup for purchasing as needed


Knowledge, Skills & Abilities

In addition to those identified in the previous levels: Skill in using automated financial systems. Ability to apply accounting principles and practices to varied levels of accounting transactions. Ability to mentor and provide guidance to accounting staff.

Typical Qualifications:

  • 3-5 years of relevant experience. (Substitutions may be allowed)


Qualifications Required:

  • Must have a valid Driver’s License
  • High School Diploma or equivalent
