This position will be in the Office of the Director at the Lewis and Clark State Office Building, 1101 Riverside Drive, Jefferson City, Missouri.

  • Provides administrative support to the policy staff as necessary, including scheduling meetings, making travel arrangements, filing expense reports, and finalizing correspondence.
  • Prepares out of state travel requests, following through with making all travel arrangements and itineraries.
  • Composes, proofreads, and prepares memorandums, letters, and reports. May research and prepare information.
  • Manages Director’s Office vehicle and monthly reports.
  • Responds appropriately to inquiries from state officials and constituents regarding the agency, ensuring that any unresolved matters reach the appropriate department team member for assistance. This includes being the constituent services liaison to the Governor’s Office.
  • Tracks timesheets - ensuring Director’s Office team members submit time sheets by due date.
  • Manages supplies for the office - making sure adequate supplies are available and ordering additional items as requested.
  • Manages multipurpose purchasing card in accordance with state guidelines and policies.
  • Reviews commission and board agendas and sends to Director’s Office team members for approval.
  • Serves as the rulemaking coordinator for the Director’s Office - includes reviewing, logging, and tracking rulemaking documents and ensuring review by legal counsel, department deputy director, and department director. Also, prepares rulemaking package for Governor’s Office for approval.
  • Assists with National Environmental Policy Act reviews - coordinates the review process and comments for environmental impacts of proposed projects throughout the state.
  • Assists with external stakeholder meetings - schedules and sets up 2 stakeholder meetings per year. Maintains a list of stakeholders and notifies of upcoming meetings.
  • Maintains Ethics Commission information - verifies that commission and staff information is current with the commission and that Personal Financial Disclosure Statements are submitted by the yearly deadline.
  • Reviews and submits invoices for payment.
  • Serves as back up to the director’s executive assistant with supporting department director and deputy director.
  • Serves as back up for the communications assistant with news release distribution.
  • Other duties as assigned

Equivalent to those typically gained by:

  • Four or more years of office or related clerical experience including one year at an advanced level position.
  • Possession of a high school diploma or GED certificate.
