Position Description

Provide high level clerical and administrative support in a division or department, working closely with the operational activities and/or providing technical assistance to staff.

Work Location: This position currently works on-site only.

Job Duties and Responsibilities

Provide support in the processing of correspondence, coordination & scheduling of meetings and processing of various other materials and reports.Design forms that are used by a division or department.Establish clerical procedures for various department or division activities.Provide support for assigned committees, executives, including preparation of meeting agendas.Attend meetings taking notes, minutes and may act as chair to keep agenda moving.Contact other departments to gather information for operational activities and decisions - and passes information along to appropriate parties.Perform special projects such as reviewing and updating or rewriting procedures, or performing detailed research on specific issues for supervisors.Create, maintain and manage various databases.Perform systems work utilizing higher level knowledge - including preparation and modification of reports, verification of parameters, creation, modification, maintenance of tables and uploading, downloading and creating queries.Maintain calendars, arrange and initiate travel arrangements and reimbursements for administrative staff.Assist in budget and grant work including creating and maintaining spreadsheets.Oversee all aspects of record keeping and documentation activities for a division.Respond to inquiries and requests for information from other City departments, agencies and the general public over the telephone and in-person.May take minutes of confidential hearings, and prepare transcripts for distribution.Type and composes a variety of correspondence and documents including memos, letters, contracts, plans, specifications, etc.Participate by providing support in Public Health Emergency Preparedness planning, training and response as needed when assigned to the Health and Family Support Department. Required Qualifications

Minimum Education:
High School Diploma or equivalent

Minimum Experience:
Three years of senior level clerical experience

Equivalency
An equivalent combination of education and experience closely related to the duties of the position MAY be considered.

Desirable Qualifications -- Language
Bilingual skills in Spanish, Somali, Amharic, Oromo, Hmong, Vietnamese and/or Lao.

Desirable Qualifications -- Cultural competency
Ability to relate and work effectively with people from diverse cultural, economic and ethnic backgrounds.
Selection Process
The selection process will consist of one or more of the following steps: a rating of relevant education and experience (100%). It is important that your application show all the relevant education and experience you possess. This information will be used to determine which candidates will proceed in the selection process. A submitted application is also used to verify the answers to any supplemental questions. Only those candidates who attain a passing score (70%) on each step in the selection process will be placed on the eligible list. The City of Minneapolis Human Resources Department reserves the right to limit the number in any phase of the selection process.

The City has determined that a criminal background check and/or qualifications check may be necessary for certain positions with this job title. Applicants may be required to sign an informed consent form allowing the City to obtain their criminal history and/or verify their qualifications in connection with the position sought. Eligible List Statement
The names of applicants who meet minimum qualification and who pass the screening process shall be placed on the eligible list for employment consideration. This list will be certified to the hiring manager who may use the list to fill a vacancy of the same job title. This eligible list will expire one month after it has been established.

If the hiring authority decides to interview other than by exam score order, they may select additional people to interview based on a candidate’s education or experience related to the field, work history, or skills uniquely related to the operational needs of the position.
