PURPOSE : Under the general supervision of the Director of University Affairs, Ceremonies and Events and in conjunction with the assigned Event Specialist, the Event Coordinator works on an intermittent hourly basis to 1) coordinate and execute events as assigned and 2) supports and assists the UACE team to execute campus-wide events and ceremonies; always ensuring all campus events are held safely and successfully within the established protocols and guidelines. ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following : Coordination and Execution of Events: Works independently and in conjunction with other department members, to coordinate and execute campus wide events. Applies appropriate event policies and procedures. Addresses events coordination challenges using reasoning, interpretation, and application of standard event theories and principles to recommend the wisest course of action. Troubleshoots and solves challenges which arise during events independently and with the support of the other department members. Coordinates tasks including, but not limited to food and beverage service, set-up, breakdown, decorations, safety training, check-in, meet and greet, and ensuring safety measure as implemented. Provides instruction and direction to students, volunteers, vendors, guests and/or other events personnel to ensure compliance with policies and procedures. Coordinates administrative services including but not limited to facilities maintenance, repairs, landscaping, custodial, and building security as it relates to assigned events. Collaborates with the multi-media tech specialist to identify and communicate sound system requirements and other technical equipment needs where applicable. Also supports the multimedia tech specialist as required with equipment operation, setups and breakdowns. Provides exemplary customer service and maintains professionalism to all internal and external contacts. Support and Assist UACE Team to Execute Campus Wide Events Attend meetings, take meeting notes, prepares and distributes post-meeting reports and surveys, and follows up on action items. Updates department website as needed. Contributes to and maintains the department's shared comprehensive system of files and records for both electronic and physical materials, including shared calendar. Assists with preparation of estimates, facility use agreements, and interim and final sales orders and payment of invoices relating to events. May work with the department biller and budget analyst to track expenses and forecast event costs. Supports virtual events using Zoom and other virtual event platforms, using knowledge of the latest technical services available to the campus that includes online meetings, interpreter services, closed caption services, and other computing services to meet the needs of internal and external clients where appropriate or necessary. Supports the coordination of the summer conference programs and University House events where appropriate. Coordinates a range of post-event assessments to inform future planning practices. PURPOSE : Under the general supervision of the Director of the Tutoring Services, the Learning Center Coordinator provides CSUMB students with tutorial services related to scientific and quantitative reasoning, including math, business, statistics, technology, and assists in tutorial program development and expansion in STEM and related disciplines. This role involves managing undergraduate tutor recruitment, training, and evaluation in the service of assisting students in making successful progress toward their degree objectives. PURPOSE : Under general direction of the Assistant Vice President for Enrollment Management and day-to-day work direction of the Director of Admissions, the Associate Director for Admissions and Operational Technology is responsible for effectively managing the day-to-day operations related to all components of processing the undergraduate and graduate admissions applications, documents and electronic data in the Office of Admissions, including ensuring all coding is accurate for reporting purposes as well as ensuring compliance of state regulations. PURPOSE : Under general direction of the Assistant Vice President for Enrollment Management and day-to-day work direction of the Director of Admissions, the Associate Director for Admissions and Operational Technology is responsible for effectively managing the day-to-day operations related to all components of processing the undergraduate and graduate admissions applications, documents and electronic data in the Office of Admissions, including ensuring all coding is accurate for reporting purposes as well as ensuring compliance of state regulations. ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following : Supervision and Training: In conjunction with the AVP of Enrollment Management and Director of Admissions, the Associate Director of Admissions and Operational Technology establishes the priorities and direction of operations for all processing functions within the Office of Admissions. Develops and maintains regular and ad-hoc reports to monitor the status of workflow and provide critical data and information to management. Recommends, develops and implements enhancements to streamline processing timeframes to meet CSUMB enrollment goals. Conducts long range planning of work including detailed roadmaps to increase efficiency and the overall effectiveness of all admissions operations functions. Effectively recommends hiring and disciplinary issues; sets training standards and disseminates work expectations and coordinates the workflow of the staff. Provides training, supervision, and leadership to the Admissions Analysts and Admissions Coordinator/Residency Specialist. Provides general processing support to the Office of Admissions. Ensures training is provided to staff in Admissions, the Registrar's office, and other areas across campus on Admissions processes, CMS, on base, etc. Develops procedural manuals for office policy and regulations. Provides yearly staff evaluations for all direct reports. Establishes with staff the goals and objectives for the year. Admission Operations and Testing Management: Work with Data Management Offices and administrators to ensure the integrity of data and processes in CMS; Coordinates and troubleshoots electronic data and monitors processes of application, test and transcript loads and other electronic interfaces. Analyze business processes and recommend data enhancements to Admissions management and the IT team. Establishes guidelines to ensure residency requirements for incoming students are enforced. Interprets CSU Policy for application processing and residency for staff. Provides proper training for staff in and outside of the Admissions Office. Ensures the Admissions Office is adhering to CSU admission procedures and provides training to staff. Oversees the CSU Mandated ERSA/ERSS data requirements to ensure accuracy and timely completion for systemwide reporting. Thoroughly reviews operations and implements improvements to increase and maximize productivity. Strategic Planning and Cross-departmental collaboration: Work collaboratively with the Information Systems/Information Technology campus groups and CMS Chancellor IT Groups, and interact with other campus departments in providing production support, resolving complex system problems, recommending operating policy, and disseminating system information. In conjunction with the AVP of Enrollment Management and Director of Admissions and Recruitment, will participate in the development of the overall Admissions' budget and associated priorities for each fiscal year. Responsible for the department's adherence to annual budget and works with staff to stay within departments limits. Responsible for managing operational budget including contracts, maintenance, print materials. Other Functions : In the absence of the AVP of Enrollment Management and Director of Admissions, provides leadership and direction for all of Admissions.
