Administrative Support Coordinator II

Salary Range: $3,115 -$5,639/Monthly

Work Schedule: Full-Time, Monday - Thursday, 9:00 am - 6:00 pm; Friday, 8:00 am - 5:00 pm; non-exempt classification. Temporary appointment expires on or before one year from date of hire. Appointment may be extended, may become permanent.

Essential Functions: Under the direct supervision of the Administrative Analyst/Office Manager, the Administrative Support Coordinator II (ASC II) in the Office for Student Services (OSS) is responsible for processing the Charter College of Education (CCOE) credential and certificate admission applications. The incumbent will: coordinate admission related work with assigned staff; ensure that the CCOE admission information (website and paper), admission status letters and related forms are accurate and up-to-date; communicate admission status with students, staff, and program faculty as appropriate; provide updates on credential and certificate applications/admission data to division chairs, administrative council, deans, and others as appropriate; manage files and coordinate special action petitions for credential admissions; receive and coordinate referrals to the CCOE Teacher Admissions Committee; coordinate credential and certificate admission activities; process petitions and course substitutions; coordinate credential admission files and admission recommendations from divisions; produce materials required for various meeting/committees; provide credential status reports to the Center for Student Financial Aid for Pell Grants and Teach Grants; develop and maintain an overall understanding of credential program processes in order to provide high quality customer service; respond to emails, phone calls, and walk-in results for information and assistance; supervise admission assistants; and provide clerical and technical support for the Office for Student Services.

Required Qualifications & Experience: Four years of full-time general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Must be proficient in the use of Microsoft Office, tools for data management, and related software and hardware. Must be precise and accurate to effectively maintain and process admissions records, and be able to address Customer Relations Management (CRM) inquiries appropriately. Possess excellent verbal, written communication, and customer service skills; strong organizational and interpersonal skills. Ability to communicate effectively with students, faculty, staff, administrators, community partners and representatives from other outside agencies. Ability to: learn and understand complex Commission on Teacher Credentialing and university regulations/policies and relay that information clearly to others; meet deadlines; multi-task; and work well under pressure. Willingness and ability to collaborate with students, faculty, staff, and administrators to resolve problems and generate future solutions. Demonstrated interest and ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: Equivalent to a bachelor's degree from an accredited four-year college or university. Knowledge and effective use of Access and/or Peoplesoft/GET.
