Job Summary: The Administrative Support I position ensures fulfillment of our mission through the welcoming of guests to recreation facilities, providing guest support, performing varied clerical/receptionist work, and supporting staff within the Recreation Department. This position oversees concession stand operations at Barnes/Fairgrounds Ballfields and Winona Pool, including interviewing, hiring, training, scheduling, inventory, ordering and supervising part-time seasonal concession staff.
The schedule for this position is Tuesday through Friday from 1:00 PM to 9:15 PM, with Saturday shifts that vary seasonally—between 5:30 AM and 6:15 PM from December to February, and between 9:00 AM and 8:00 PM from March to November.
The salary range for this position is
$20.66- $27.90 per hour with a hiring range of
$20.66 - $24.28, depending on qualifications and experience.

Essential Functions: - Provides exceptional guest services, in person and over the phone, completing transactions of various types, collecting appropriate fees, and informing users of potential opportunities and services available.
- Greets guests, accepts and processes passes and registrations for all activities within the Recreation Center and Department.
- Will be responsible for opening and/or closing the facility/facilities on certain days of the week.
- Conducts facility tours and checks out equipment.
- Assists with overall supervision of front and check-in desk operations including part-time clerks; relative to part-time staff, assists with training, communicating new procedures and other duties as needed.
- Maintains work area, facilities, supplies and equipment to ensure a safe and sanitary environment.
- Attends and participates in staff meetings and trainings.
- Assists in the training of new staff.
- Responsibilities include learning and training on the recreation management software (RecTrac), as well as assisting with its administration and support.
- Resolves safety and administrative concerns by applying appropriate policies and procedures and through positive collaboration and team interaction and involvement with Facility Manager, Facility Management Team, other staff members, and the public.
- Supports all Recreation staff with various needs.
- Performs administrative tasks as assigned by the Facility Coordinator-Guest Services.
Other Job Functions: - Assists with maintenance of various clerical records, computer database systems, merchandise inventory, lost/found system, brochure rack, laundry and numerous other systems.
- Actively participates in continual process improvement efforts within the facility and division.
- Assists with emergencies, maintenance and upkeep of the facility.
- May set up and tear down equipment used for special events or activities.
- Preparation of concession stands, including County Health Department inspections and post season winterization
- Establishes concessions menus to ensure maximum profit generation and customer service
- Prepares orders for concessions food & supplies; daily inventory, stand stocking and quality control
- Requires cross training in other areas.
- Performs other duties as assigned.
Job Level and Management Expectations: Experience: - Required: 1 year w ork experience performing similar guest service and clerical duties including high degree of public contact and guest relations in a fast-paced environment, and e xperience with Microsoft Office including Word, Excel, Outlook.
- Preferred: Some e xperience with Microsoft Office suite, point of sale systems, guest membership management systems, and class registration processing systems highly desirable.
Certifications: - Current Fist Aid and CPR certification required or must be obtained within 90 days of hire.
- Must possess a valid driver's license.
Knowledge, Skills, and Abilities: - Ability to provide outstanding customer service to a diverse guest population in a fast paced, chaotic environment.
- Ability to establish and maintain effective working relationships with supervisors, peers and City staff, including the ability to follow directions and demonstrate professional behavior.

- Demonstrated skill in the use of standard office equipment, computers and various application programs including recreation related specialty software applications.
- Complete fee transactions quickly and accurately; prepare daily cash report using math principles.
Physical Demands and Working Conditions: - Constant: Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.
Working Environment: - Constant: Exposure to routine office noise and equipment.
- Occasional: Exposure to hazards that are predictable or well protected against.
