    The Job

    The Project & Facilities Management Department is seeking a detail-oriented and experienced Equipment Parts Specialist II to ensure the timely availability of parts used to install, repair, and maintain County facilities. Under direction, this position also serves as a lead worker in warehouse operations and performs related duties as required. This is the advanced journey-level classification, responsible for planning, coordinating, and organizing operations within the Facilities Management warehouse. The Equipment Parts Specialist II may lead and provide guidance to lower-level staff. This class is distinguished from the Equipment Parts Supervisor, which carries broader supervisory responsibilities over the warehouse and a larger staff complement.


    KEY RESPONSIBILITIES:

    • Research and contact vendors to source necessary parts, negotiating for price, warranty, and timely delivery to meet project deadlines.
    • Maintain and update a computerized inventory system; determine appropriate stock levels within budgetary and policy guidelines.
    • Process and track special orders; monitor the status of parts ordered and received.
    • Schedule and coordinate staff routes for picking up parts; manage ad-hoc deliveries to job sites when necessary.
    • Assist Facilities Management Technicians in identifying and substituting parts based on catalog research and technical knowledge.
    • Receive, inspect, mark, store, and issue parts; arrange repairs or replacements as needed.
    • Optimize storage space and layout for efficiency.
    • Coordinate and participate in annual inventory audits; provide documentation and respond to auditor inquiries.
    • Identify and arrange disposition of obsolete or surplus stock.
    • Oversee the maintenance and tagging of the Division’s Fixed Assets Inventory related to the Facilities Management warehouse.
    • Maintain forklift logs, schedule preventative maintenance, and coordinate repairs.
    • Ensure proper upkeep of the warehouse and tools.
    • Maintain hazmat logs and coordinate hazardous materials disposal with authorized vendors.
    • Provide temporary and vacation coverage as needed.

    CONDITIONS OF EMPLOYMENT

    Pre-Employment Process: Applicants must successfully pass a background check and a job-related physical exam, including a drug test, prior to employment.

    Shift: Incumbents may be required to work weekends to meet departmental needs.

    License: A valid California Class C Driver License is required to carry out the essential job-related functions of this position. Mileage reimbursement and proof of automobile liability insurance must be maintained.

    Minimum Requirements

    Required Experience: Two (2) years of progressively responsible experience in parts procurement, inventory control, or warehouse operations, preferably in a public agency or facilities maintenance environment. Experience should include the use of computerized inventory systems and vendor relations.

    Desired Qualifications

    The ideal candidate will possess the following:

    • Experience working in a public agency facilities management or maintenance environment, with direct exposure to parts and equipment used in building systems (HVAC, plumbing, electrical, etc.).
    • Familiarity with computerized maintenance management systems (CMMS) such as Maximo, SAP, or similar platforms for inventory and work order management.
    • Prior experience in hazardous materials handling and disposal, including maintaining hazmat logs and coordinating with regulatory agencies or authorized vendors.
    • Demonstrated leadership experience, including training, mentoring, or supervising warehouse or logistics staff.
    • Strong negotiation skills with vendors to obtain favorable pricing, warranty terms, and delivery schedules.
    • Knowledge of County or municipal procurement policies and procedures, including familiarity with purchasing and special order tracking in the public sector.
    • Ability to use technical catalogs and resources to identify, research, and substitute parts effectively.
