    Administrative Assistant/Office Manager, STARBASE Henderson

    Position Location: Henderson, Nevada

    Salary: Depending on experience, up to $73,304

    Qualifications:
    The office manager is required to have a variety of education, skills, knowledge, and
    experiences:
    • Associates degree or higher
    • Strong computer skills (Macintosh operating system preferable)
    • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
    • Familiarity or proficiency preferred with Adobe Suite (InDesign, Illustrator, PhotoShop, Adobe
    Acrobat), and FileMaker
    • Dynamic Communication skills
    • Ability to organize and prioritize multiple work assignments, meeting deadlines and adapting
    to
    changing priorities while maintaining a positive, effective, and professional approach
    • Work well as a team member
    • Demonstrates ability to exercise self-motivation and to work effectively both independently
    and
    cooperatively under minimal supervision

    Duties and RESPONSIBILITIES:
    A. Office Management
    1. Assist in the overall day-to-day duties as requested by the director and deputy director
    2. Prepare/modify classroom files as requested by director, deputy director, and program
    coordinator
    3. In conjunction with the director, develop and maintain yearly work calendar and yearly

    The Adjutant General school calendar
    4. Coordinate the scheduling of attending classrooms and maintain modifications to schedule,
    promptly notifying staff as changes occur
    5. Prepare and mail visiting classroom packets (forms), communicating with visiting teachers as
    questions, comments, or concerns arise
    6. Maintain, through direct input and/or changes/corrections, student database, including
    certificates, attendance lists, class lists, alpha lists, and name badges; provide all generated
    materials to the necessary members in a timely manner
    7. Input and maintain data for student, teacher, and parental assessments
    8. Receive and distribute mail as officially-designated Wing mail manager for STARBASE
    9. Prepare outgoing deliveries and accept incoming deliveries; process and stock (or distribute
    accordingly) incoming deliveries, ensuring orders reflect correct items and quantities;
    coordinate with appropriate vendor for any discrepancies
    10. Maintain and order supplies and equipment as approved by director
    11. Serve as primary Telephone Control Officer (TCO); review and verify monthly long-distance
    reports
    12. In coordination with the director, track budget, using template provided by NGB/YP
    13. Maintain email accounts
    14. Organize and maintain registration and processing of summer academies
    15. In coordination with director, maintain asset management procedures; coordinate with
    director for the return of equipment and goods to The State that are no longer required for
    program operations
    16. Per the director, manually input, modify, or delete time clock discrepancies

    B. Guest Services
    1. Receive visitors and telephone calls, determine nature of requests, and direct callers or
    visitors to appropriate staff or office
    2. Communicate clearly and professionally with visiting teachers and chaperones as may be
    necessary
    3. Maintain open communication with 72nd Military Police Company, ARNG Honor Guard, and
    Nevada National Guard Armory, Henderson personnel and offices as needed
    4. Coordinate visitor access to armory with security police and/or the front gate and visitor's complex
    5. Represent STARBASE One at military community meetings, functions, and conferences when
    requested and when appropriate
    6. Provide VIP briefings and tours to official guests of the Nevada TAG, 72nd Military Police
    Company, ARNG Honor Guard, ARNG Commanders, community leaders, and Department of
    Defense

    C. Facility Operations
    1. Maintain general upkeep and cleanliness of reception desk and general vicinity
    2. In cooperation with the director, coordinate and supervise custodial services, including
    selection of custodial services as well as ongoing evaluation of services rendered
    3. Actively engage in practicing general cleanliness of STARBASE Henderson at Nevada National
    Guard Armory, Henderson maintaining its welcoming, comfortable appearance
    4. Coordinate with civil engineering service calls desk for repairs or maintenance issues that
    require immediate attention

    D. Professional Development
    1. Utilize time as appropriate and available for personal and collaborative professional
    development
    2. Participate in all training for security, safety, and emergency procedures, including fire
    evacuation, tornado/severe weather procedures, and facility lock-down
    3. Through annual assessments and reviews, set specific goals with associated completion
    dates, and track progress toward achieving goals
    4. Assist with training of employees as requested by the director or deputy director

In contrast, the State's lowest point (along the Colorado River) is only 470 feet above sea level. From majestic mountains to desert valleys, nature has endowed Nevada with diverse and unique ecosystems.
