ESSENTIAL FUNCTIONS Under general supervision, provides expert-level administrative, confidential, professional support to executives, city attorneys, division managers, administration, or elected officials.

TASKS - Drafts, formats, and proofreads legal documents (e.g., complaints, answers, motions, subpoenas);
- Coordinates service of process for legal documents;
- Organizes and maintains case files, pleadings, discovery, and correspondence;
- Receives and disseminates official and confidential information between Administration and City staff;
- Prepares City Council, Board, and Commission agenda materials, draft reports, resolutions, ordinances, and other legal documents;
- Maintains calendars, organizes and arranges travel arrangements, prepares, obtains, and distributes meeting materials;
- Generates meeting minutes and updates agenda agreements, and other related correspondences for the department/division;
- Edits and reviews forms, charts, reports, and other materials for thoroughness, accuracy, formatting aesthetics, compliance with policies and procedures, and appropriate English usage to include spelling, grammar, and readability;
- Interfaces and follow-up with citizens and other department visitors regarding concerns, complaints, and requests for information;
- Create and retain centralized department records, including contracts, project files, ordinances, resolutions, and documents.
QUALIFICATIONS Any combination equivalent to training and experience providing the required knowledge, skills, and abilities would qualify. A typical way to obtain the knowledge, skills, and abilities would be a High School Diploma with college-level coursework in English, Business Administration, and Accounting,
AND six years’ experience performing complex and managing confidential administrative support work in a law firm, government/municipal attorney’s office, or business environment.
KNOWLEDGE, SKILLS, AND OTHER CHARACTERISTICS - Knowledge of City and Department policies and procedures, quality customer service techniques and concepts, file and record management, business accounting, time-management, and organization best practices; payroll and human resources required documents;
- Skilled in problem-solving day-to-day issues with little supervision, working with staff to complete assignments, exercising sound judgment in performing essential duties and representing the City, and establishing productive working relationships with all levels of staff and community members;
- Ability to provide technical guidance to staff, exercise sound independent judgment to resolve day-to-day operational or technical issues; prepare clear, concise, and complete reports and other written materials; maintain accurate records and files, and coordinate multiple responsibilities to meet firm deadlines.
- Proficient in the use of a variety of computer applications commonly found in a modern office environment, including standard desktop office applications such as the Microsoft Office Suite, fiscal/budget, content management, and resource databases;
THE SELECTION PROCESS Applicants whose experience best meets the city's needs will be invited to participate in the examination for this position. Candidates must have access to a computer with internet, video, and audio capabilities to participate in our examination process. The examination may consist of one or more of the following: (1) Training & Experience Evaluation, (2) Writing Exercise, and (3) Qualifications Appraisal Interview with a panel of subject matter experts. Candidates must receive a score of 70 or higher to have their names placed on the active eligibility list for one year.
