  • Job Description

    Our Administrative Support II performs a variety of administrative and customer service duties for the Risk Management Division. Responsible for responding to internal and external customer questions regarding claims, policies and procedures. This position is also responsible for accurate data collection and entry, including the collection and entering of workers’ compensation and property claims. Supports administrative requests for members of the division and is responsible for maintaining records, scanning, document filing and records retention.

    The salary range for this position is $22.67- $31.73 per hour with a hiring range of $22.67 - $27.20, depending on qualifications and experience. This opportunity will be available to applicants until Monday, March 31, 2025 at 12:00 P.M. M.S.T.

    This is a 25 hour per week position.

    Essential Functions:
    • Responsible for insurance claims intake, filing, and gathering information to support claims review, this may include gathering historical records, mapping or contractor information, photographs, and additional witness statements.
    • Assists with the administration of citywide safety programs such as:
      • Infectious Disease Program - identify and communicate eligibility, monitor immunization schedules, and issue reminders.
      • Safety points - responsible for compliance, balancing communication and inventory of the program.
    • Administrative support within the division and department, includes purchasing supplies, monitoring budget, file maintenance compliance and updating library of certificates of insurance.
    • Assist with gathering documentation for Colorado Open Records Act requests.
    • Prepare and process contracts and purchase order requests for the division, ensuring compliance and accuracy of processing.
    • Review invoices for accuracy and processing of accounts payables and receivables. Review deposits and record Property and Casualty (PC) claims recoveries. Copy restitution information for PC subrogation record and perform G/L accounting for deposits and damaged vehicle repairs to assign deductibles to responsible department.
    • Assist in coordination and updates required for internal division intranet site to ensure proper resources are available to stakeholders.
    • Assist with the Division's contract process. Includes routing, tracking and payments.


    Education: High School or GED

    Experience: 2 Years: Progressively responsible administrative and customer service experience. Experience with Microsoft Office including Word, Excel and Outlook.

    Knowledge, Skills, and Abilities:
    • General working knowledge of standard office procedures and methods.
    • Thorough knowledge of reading, writing and ability to independently review documents for accuracy.
    • Follow written instructions, operate office equipment and communicate information verbally and in writing.
    • Must posses high quality customer service skills and effectively communicate in a positive, friendly and professional manner.
    • Handle confidential information, plan and organize priorities.
    • Typing at a speed that enables projects to be completed in a timely manner.
    • Must be extremely detail oriented and manage multiple tasks in a fast-paced environment.

    Physical Demands and Working Conditions:
    • Frequent: Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.
    • Frequent: Light to moderate physical effort that includes frequent standing or walking or maintaining arms and hands in the same position for repetitive tasks. Frequently works with light objects and light hand tools.

    Working Environment:
    • Frequent: Exposure to routine office noise and equipment.
    • Occasional: Exposure to hazards typically found in general office environments where there is rarely no exposure to injury or accident.
