    An Administrative Assistant - Contracts Support position is available with the City of Fort Worth IT Solutions Department, IT Finance - Contracts team. The IT Finance - Contracts team provides support to all City departments by managing technology-related contract functions including the drafting and processing of annual renewals, contract amendments, execution of new contracts, and contractual reporting duties. The ideal candidate must demonstrate exceptional communication skills, both oral and written, and possess the ability to coordinate and provide contract support in a fast-paced work environment. A strong focus on organization, time management, customer service, and teamwork are essential. This position requires producing high-quality work with minimal errors, demonstrating a strong sense of accountability and effective self-management.

    Minimum Qualifications:
    • Associate’s degree from an accredited college with major coursework in Business Management, Public Administration, Business Administration or related field
    • Four (4) years of clerical and administrative experience
    • Candidate selected for hire must pass a CJIS background check (see below for details)

    Preferred Qualifications:
    • Preference may be given to higher levels of education, experience and certifications as related to the vacancy.
    • Experience with and ability to operate basic office software including Microsoft Office software (Word, Excel, Outlook, and PowerPoint), Adobe Acrobat, and Adobe Sign.
    • Experience with PeopleSoft Financials.
    • General knowledge of government procurement policies.
    • Clear and effective communication skills with internal and external customers and vendors, including Technical Writing Skills.

    The Administrative Assistant - Contracts Support job responsibilities include:
    • Supports the development of legal agreements to advance technological programs and initiatives provided through IT Solutions.
    • Process annual contract renewals, basic contract amendments, and execution of new technology-related purchase and vendor services agreements; including submission of related PeopleSoft purchasing forms.
    • Provides administrative support to the department; receives and responds to requests for information related to IT Solutions-managed contracts; and assists with routing of contracts and related documents through Adobe Sign.
    • Completes contract-related service requests as assigned through Ivanti ITSM system in a timely manner and with minimal supervision.
    • Respond to and resolve contract-related inquiries from internal customers and vendors, both verbally and in writing.
    • Assists in maintaining contract management system(s) and related information; and assists in improvement and documentation of contract processes.
    • Performs other duties as assigned.

    Physical Demand


    Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

    Criminal Justice Information Systems (CJIS) Background Check

    Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following will result in being disqualified for this position: Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class.

    Medical Program

    The City offers two plan options through Meritain Health, an Aetna company.

    Vacation

    Eligible for 3 weeks of vacation: After successful completion of probationary period (usually

    Holidays

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
