    DESCRIPTION

    The Department of Human Resources invites applications for the unclassified position of Secretary for the Risk Management Bureau. This position reports to the Manager of Risk & Occupational Health Services and performs difficult and complex secretarial and administrative tasks in support to the Bureau Manager and staff.

    EXAMPLES OF DUTIES

    • Provide clerical and administrative support to the Risk Management Bureau.
    • Maintain Manager’s agenda and assist in planning appointments, meetings, conferences etc. as assigned.
    • Maintains and handles confidential bureau files to ensure security Assists other bureau staff as necessary.
    • Attends meetings and keeps minutes.
    • Answer and screen telephone calls, respond to emails, messages, and other correspondence.
    • Maintain electronic and paper records ensuring information is organized and easily accessible. Perform accurate research and analysis.
    • Compile, write, proofread and revise drafts of documents.
    • Prepare reports, presentations, and correspondence accurately and swiftly.
    • Create and organize information and generate reference tools for ease use.
    • Administer the Special Events Liability Insurance Program.
    • Review Certificates of Insurance for compliance and approval.
    • Coordinate the Annual Property Loss and Control Inspections and air tank inspections.
    • Process purchase orders, direct payments, deposit receipts and journal vouchers.
    • Respond to routine inquiries regarding Certificates of Insurance.
    • Operating and maintaining office equipment.
    • Performs other related duties as required.


    REQUIREMENTS TO FILE

    EDUCATION

    High school diploma or equivalent.

    EXPERIENCE
    Five years of full-time equivalent progressively responsible secretarial/clerical experience.
    DESIRABLE QUALFICIATIONS
    • Proficiency with Microsoft Office, Outlook, FAMIS/ADPICS, MUNIS.
    • Previous experience working in Risk Management.
    • Knowledge of the City’s basic insurance requirements.
