    Minimum Qualifications:
    Required:
    • Associate's degree in Information Technology, Computer Science, Business Administration, or a related field.
    • 5 years of experience in project coordination or project management, preferably in an IT or government setting
    Preferred:
    • Project Management Professional (PMP) certification


    Position Description: The IT Project Coordinator plays a crucial role in the successful planning, execution, and monitoring of enterprise IT software projects at the City of Waco. This position will work closely with the IT Manager of Project Management and various stakeholders to ensure that projects are completed on time, within scope, and within budget. The IT Project Coordinator will be responsible for coordinating project activities, tracking progress, and facilitating communication among team members and stakeholders.
    Position Responsibilities:
    • Assist in the development of project plans, timelines, and budgets.
    • Coordinate project activities, ensuring that tasks are assigned and completed on schedule.
    • Maintain project documentation, including project plans, risk registers, and status reports.
    • Facilitate communication between project teams, IT leadership, and other stakeholders.
    • Organize and lead project meetings, providing status updates and action items.
    • Assist in resource allocation and management, including assigning tasks to team members.
    • Collaborate with department managers to ensure the availability of required resources.
    • Track and report on resource utilization throughout the project lifecycle.
    • Monitor risk factors and initiate corrective actions when necessary. Identify and assess project risks and issues.
    • Collaborate with the IT Project Manager to develop mitigation and contingency plans.
    • Ensure that project deliverables meet established quality standards.
    • Perform quality reviews and validations to verify that project objectives are met.
    • Collaborate with stakeholders to gather feedback and make necessary improvements.
    • Assist in tracking project expenditures and ensuring adherence to the approved budget.
    • Prepare financial reports and forecasts related to project costs.
    • Monitor procurement processes for project-related goods and services.
    • Prepare and maintain project documentation, including project charters, scope statements, and change requests.
    • Generate regular progress reports for IT leadership and stakeholders.
    • Assist in post-project evaluations and documentation of lessons learned.

    Governance and Organization

    Waco is a home rule city with a council-manager form of government. The City Council is comprised of a Mayor, elected at-large, and five City Council members representing single-member districts, all serving two-year terms. The City Council sets the tax rate, approves the budget, appoints members to City boards and commissions, enacts City ordinances, and appoints the City Manager, City Attorney, City Secretary, and the Municipal Court Judge.

    The City has a strong Financial Management Policy that guides the operation and delivery of quality City services, contributes to excellent AA+ and Aa1 bond ratings, and maintains an unassigned fund balance reserve in the General Fund equal to 28% of current year budgeted expenditures. The City of Waco has more than 1,600 employees and a total operating budget of over $400 million.

    The City provides a full range of municipal services including a regional airport, animal services, building inspections, code enforcement, convention and visitors bureau, emergency management, housing and community development, economic development, fire, public health, library, municipal court, parks and recreation, planning, police, public works, Texas Ranger Hall of Fame Museum, utilities and zoo operations.
