This position supports the City Treasurer and the Treasury Bureau. The Treasury Bureau invests the idle funds of the City and related agencies, serves as the principal liaison with the City’s commercial banks, develops and structures the City’s financing strategies and transactions, and manages the City’s debt and cash management functions.
The ideal candidate must be highly organized, be able to remain calm, and quickly adapt to changing priorities in a high-paced, high-pressure work environment. The position will be working in a team environment and collaborate with various staff across different levels of the organization. As such, the ideal candidate must be a team player with excellent communication and customer service skills. Further, the ideal candidate must be experienced with managing the workflow and schedule of a high-level executive/manager. Success in this position will require resourcefulness, the keen ability to plan and anticipate needs, and the ability to be comfortable with generating results from external and internal parties without being confrontational.
EXAMPLES OF DUTIES- Provides support to the City Treasurer for scheduling appointments and meetings
- Answers phone calls on the general Bureau telephone number, directing callers to the appropriate information source
- Maintains files, documentation and correspondence for City Treasurer
- Takes, types, and distributes minutes of meetings
- Coordinates requests from the City Council, City Manager's Office, or other partners and clients
- Compiles information and data for use in preparing various records and reports
- Interprets departmental policies, procedures, and operations to the public or City personnel
- Orders office supplies for Bureau
- Issues and processes purchase orders, invoices and contracts
- Completes travel request forms and schedules transportation, hotel and other reservations needed for attendance at Bureau-related conferences
- Performs other related duties as required
REQUIREMENTS TO FILEMINIMUM REQUIREMENTS:- Five (5) years of progressively responsible secretarial/clerical experience
- High School Diploma or equivalent
DESIRABLE QUALIFICATIONS:- Associate’s degree (or 60 units of college level coursework) in Business, Public Administration, or related field is desirable
- Experience in the public sector (e.g., government agency)
- Proficiency in the use of computers including email, internet, and office productivity software (i.e., Microsoft Office).
- Currently certified as a California Notary Public or have an interest in the California Notary Public appointment

- Skilled in spelling, grammar, punctuation and English language skills
