    Job Summary:

    Under general direction, The Human Resources Coordinator serves as the first point of contact for the division of Human Resources. Greets customers with enthusiasm and identifies their needs via phone or in-person. Provides an array of administrative support to the Employment Services team. Coordinates the onboarding program which includes reviewing and preparing sign-in documents, checking electronic sign-in process, setting up the conference room and onboarding new hires. Provides guidance on recruitment processes and status updates, posting career opportunities as needed, receiving and maintaining confidential information/data and entering data in automated Human Resources systems and databases. Assists with the training of student assistant.

    Responsible for maintaining and archiving recruitment files, gathering data to create reports, and interacting with and solving problems for customers and department staff. Uses customer service and problem solving skills to respond to applicants and customers via email, telephone, and in person. Coordinates and schedules meetings and events. Coordinates and works with individuals at all levels within the organization.

    Responsibilities:

    Onboarding Delegate

    Typical responsibilities include, but not limited to:
    - Performs onboarding for all staff, management, students, and faculty.
    - For all new hires, monitor and ensure completion of HR onboarding compliance forms, Tracker Federal I-9 process, and Mandated Reporter through the CSU Recruit/onboarding portal.
    - Prepare/gather documents and review for personnel file.
    - Serve as a point of contact for onboarding portal users.
    - Provide guidance to onboarding delegates and applicants to ensure completion of tasks to be completed.
    - Monitor Campus Request Forms through AdobeSign.
    - Creation of Zoom sessions for Virtual Onboarding; schedule an onboarding session for each new hire and send out calendar invitations for in person and virtual onboarding.
    - Meet with each new employee to review documents completed.

    Administrative & Operational Support

    Duties include but not limited to:
    - Perform front office coordination operations and liaise with all external partners to maintain working relationships with university administration, faculty and staff, distinguished alumni, and others.
    - Screen calls, emails, in-person visitors to appropriate HR Departments, assist and answer general or complex HR inquiries; routes to appropriate respective HR personnel if needed.
    - Communicate via verbal, written, and electronic correspondence (Le. answering phones, sending emails, respond to department inquiries etc.)
    - Distributes office documents, process mail, and submit work orders as needed.
    - Order/replenish office supplies and maintain inventories.
    - Supports offboarding process.
    - Assist with approval and processing of Volunteers and third-party requests for system access. Monitor and assist with determining if background checks or live scans are needed.
    - Serve as Absent Management Timekeeper and Attendance Clerk.
    - Complete unemployment verifications (i.e., EDD, Equifax, etc...) as needed.
    - Track, monitor, send notices, and reverify upcoming reverifications for Federal I9 compliance.
    - Enter, review, and update data in PeopleSoft (i.e., Name Changes, POI Requests, educational updates, etc.). Provide copies of documents to Payroll and Benefits.
    - Serves as backup support to the background check process for all new hires and maintains compliance with policy standards.
    - Assist in responding to transactions and data entry within PeopleSoft and/or other systems for student employees (i.e. hire, change job, end job, personnel data changes, etc.) to ensure timely and accurate processing during high peak times.

    Other classification-related duties as assigned.
    - Assist with Human Resources projects and events.
    - Assist with planning, presenting and/or coordinating the New Employee Orientation (NEO).
    - Perform all other classification-related duties as assigned.

    Minimum Qualifications: Required Education and Experience

    High school diploma or equivalent and the equivalent to three years of progressively responsible clerical/office experience in a Human Resources setting.

    Required Knowledge, skills, and Abilities

    - Experience to be fully functional in all technical aspects of work assignments.
    - Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
    - Thorough knowledge of English grammar, punctuation, and spelling.
    - Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
    - Ability to independently handle multiple work unit priorities and projects.
    - Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
    - Working knowledge of budget policies and procedures.
    - Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
    - Ability to draft and compose correspondence and standard reports.
    - Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

    Preferred Qualifications

    - Bachelor's degree in Human Resources, or related field.
    - Federal I-9 Verification and Compliance experience.
    - On-Boarding of new employees within an organization.
    - Experience working in Human Resources, higher education environment.
    - Experience in front office work.
    - Fluency in using standard office software packages such as Microsoft Word, Excel, Access, and Outlook.
    - Experience with Applicant Tracking Software (ATS), PeopleSoft or related systems.
    - Demonstrated ability to manage confidential information; exercise good judgment and take initiative as needed; possess excellent organizational and time management skills.
    - Strong critical thinking, analytical, research, problem-solving, and conflict resolution skills.
    - Ability to effectively work with a team.
    - Ability to maintain a high level of confidentiality in the handling and security of confidential records.
    - Working knowledge of applicable state and federal employment and education laws and regulations.
    - Demonstrated proficiency in ability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.
    - Excellent interpersonal and communication skills.

    Compensation and Benefits:

    Anticipated Hiring Range: $3,864 - $4,057 monthly.

    Classification Salary Range: $3,864 - $5,127 monthly.

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Position Information:

    Work status: Full-time/Non-Exempt/Probationary

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

    Conditions of Employment

    Background Check

    Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

    Drivers License Check

    Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

    Mandated Reporter

    The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
