(Job #543448) Administrative Support Coordinator II, SAC Lead, Hiring Range: $23.40 - $24.60/hour. This is a temporary, intermittent hourly, non-benefitted, non-exempt, permanent position with a one-year probationary period in the SAC Department.
Position Summary: Under the direction of the Associate Director of the Gutswurrak Student Activities Center (SAC), a SAC Lead is an evening and weekend Lead who plays a pivotal role in maintaining SAC operations, overseeing the facilities, and providing lead direction to a student assistant team. They are responsible for providing a safe and positive environment for all students and their guests.
Key Responsibilities:Lead operations and daily services of the Gutswurrak Student Activities Center (SAC) - Serve as designated professional staff and point of contact for the SAC facilities during evening and weekend shifts. Exercise independent judgment in resolving variances, questions, concerns that may arise in the facilities or during events. Serve as a liaison between the users and Facilities Management and/or UPD for any needs that may arise. Actively monitors SAC building, balconies and quad to ensure compliance with guidelines.
- Oversee SAC daily service operations and maintenance, including but not limited to Info Counter, Gaming Room, Arcade, Commuter Kitchen and multiple lounges.
- Review daily schedules and prepare all spaces to accommodate program events/activities.
- Ensure that opening procedures are completed at the beginning of the shift.
- Ensure that closing procedures are completed at the end of the shift and facility secured.
- Ensure that all setup arrangements are completed prior to the start of scheduled activity.
- Maintain communication and coordination with the Associate Director of SAC for recommended operational adjustments, changes to procedures, and necessary maintenance.
- Collect data and perform a variety of clerical duties.
- Assist in creating, maintaining, and updating department guidelines and procedures; including but not limited to handbooks, office manuals and student assistant job descriptions.
- Provide lead oversight and work direction to student assistants.
Oversee the event box office, as needed - Pick up and return gate ticketing operational needs from University Ticket Office; collect ticket stock, will-call, change fund, comp lists & scanners.
- Ensure timely set up of gate for events; process ticket transactions for guests as well as handle will-call distribution.
- Manage event ticketing requests for refunds, exchanges, and oversee resolution of customer service concerns.
- Maintain a professional and courteous attitude towards all guests; provide directional assistance to guests as requested.
- Administration of daily box office cash deposits, safeguarding tickets, and timely delivery of gate monies to safe following events.
- Provide event box office oversight and ensure that student staff are providing superior customer service and following institutional protocols.
- Reconcile night of show sales and cash balancing in the ticketing system
Facilitate programming and events, as needed - Facilitate activities and events when assigned.
- Troubleshoot and solve challenges that arise during events independently and with the support of the other department members.
- Ensure collection of student participation data using Presence.
- Maintain post event communication and coordination with the SAC Programming & Event Coordinator for recommended programming and event operational adjustments and changes to procedures.
Conference & Events Services Support, as needed - Supervise the physical room setup for meeting, conference, and event rooms. Work alongside student and intermittent hourly staff as needed, and ensure that all room setups are timely, accurate, complete, functional, neat, clean, and ready for customer use prior to each event.
- Troubleshoot and solve challenges which arise during events independently and with the support of the other department members.
- Oversee event hosts and serve as point of contact.
Knowledge, Skills, and Abilities Associated with this Position Include: - Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
- Thorough mastery of English grammar, punctuation, and spelling.
- Expertise in using office software packages, technology, and systems.
- Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
- Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
- Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
- Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
- Ability to effectively write and present own reports.
- Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
- Ability to use negotiation and persuasion skills to achieve results and expedite projects
As related to major responsibilities for this position: - Ability to train others on new skills and procedures and provide lead work direction.
- Demonstrated strong customer service skills; ability to quickly and creatively solve varying customer service issues using own judgment and initiative.
- Ability to stay calm during conflict and emergency situations and exercise independent judgment in resolving variances, questions, concerns that may arise in the facilities or during events.
- Ability and willingness to work a schedule that requires evenings and weekend shifts.
Minimum Qualifications: Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Preferred Qualifications: - Experience working with college students in a university or college environment.
- Ability to consistently demonstrate and reinforce the values of caring, respect, honesty and responsibility among participants and guests.
