San Bernardino County , Office of the County Counsel is seeking two skilled Executive Administrative Assistants to join their team. The existing vacancies are in the Litigation and the Fiscal Unit.
Litigation Unit: The position will assist with a variety of legal assistant duties by providing litigation and administrative support services to attorneys and paralegals. The incumbent will process or oversee the preparation and filing of legal documents; schedule meetings; calendar litigation deadlines; maintain attorneys' calendars; make travel arrangements; compose and format legal documents; and stay abreast of changes to court rules and regulations.
Fiscal Unit: The position will perform a variety of administrative duties providing confidential administrative support in a legal back-office environment. The position will assist with various projects, which include researching, compiling, arranging, and computing data; interpreting policies and procedures; scheduling meetings; maintaining office calendars; making travel arrangements; composing and formatting documents; and handling sensitive and confidential documents and files with professionalism and discretion. The unit’s Executive Assistant I will also manage legal services time and billing.

CONDITIONS OF EMPLOYMENT

Minimum Requirements
Candidates must meet one of the following options:
Option 1: One (1) year of full-time experience assisting in the preparation and processing of legal documents (e.g., pleadings, briefs, and motions) while working with legal software under the supervision of an attorney.
--OR--
Option 2: Two (2) years of highly responsible administrative assistant duties in support of professional or administrative staff operating in a legal office or environment where duties include calendaring, scheduling meetings, composing correspondence, preparing, processing and maintaining sensitive and confidential files and records; preparing agendas, and taking minutes.
--AND--
Typing: 50 w.p.m. corrected typing speed.
Experience must be within the past five (5) years.
NOTE: Duties must be clearly described in the work history section to be considered and appropriately placed for assigned duties within County Counsel. General Clerical experience, Internships, and Clerkships are not considered qualifying work experience. Qualifying experience is typically equivalent to the San Bernardino County Administrative Assistant classification and above.
Desired Qualifications
The ideal candidate will have experience supporting attorneys or administrative staff in a legal office, preparing and processing confidential records and legal documents such as pleadings, briefs, and motions. The incumbent should also be skilled in managing multiple calendars and coordinating travel arrangements while working in a fast-paced environment. Candidates with experience supporting civil law attorneys as a legal assistant or supporting administrative staff in a legal back office with payroll, attorney/client time and billing processes are highly desired.
