The CSU Chancellor's Office, is the headquarters for the nation's largest and most diverse system of higher education. Salary
The anticipated salary hiring range is up to $5,000 per month, commensurate with qualifications and experience.
The salary range for this classification is $4,058 to $7,777 per month.

Position Information
The California State University, Office of the Chancellor, is seeking a Legislative Administrative Assistant to provide executive-level administrative support primarily for the legislative advocacy team, including handling highly confidential and sensitive matters involving a variety of issues in the state governmental sphere including confidential correspondence and legislative proposals/efforts as part of legislative strategy and collective bargaining.
The incumbent is responsible to complete tasks as assigned, including but not limited to: planning, scheduling, and coordinating legislative activities; developing and coordinating complex calendars and meeting schedules with an understanding of the legislative team’s priorities; managing bill analysis process and bill tracking process; drafting reports, bills summaries and copyediting correspondence and other official documents with independent judgment and discretion; interfacing with staff of the Legislature and Governor’s Office as well as the Board of Trustees and high level Chancellor’s Office staff; updating and maintenance of the ASR website; assisting and backing up the Manager, Operations & Administration (MOA); using tact and good judgment in responding to requests for information and/or interpretations of actions taken or policies and practices implemented; and other duties as may be assigned.
This position is located in Sacramento, CA.
This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Sacramento, California.
Responsibilities
Under the general direction of the Director of State Relations, the Legislative Administrative Assistant will perform duties as outlined below:
Legislative Advocacy Team Support:
-Inputting, maintaining and tracking legislative bill information using departmental bill tracking software and running bill reports as requested.
-Communicating with legislative bill coordinators, including notification of legislative deadlines.
-Managing bill analysis process, including forwarding bills for analysis to Chancellor’s Office bill coordinators and following-up as necessary.
-Organizing and maintaining electronic and hard copy files.
-Ensuring that bill positions are accurately reflected on all documents, including ASR website.
-Drafting, editing and distributing official reports and legislative correspondence involving independent judgement.
-Copyediting legislative correspondence and other official documents for legislative team.
-Handling highly confidential and sensitive materials, including confidential correspondence and bill information regarding collective bargaining and legislative strategies on sensitive topics.
-Interfacing with staff members of the Legislature and State Administration.
-Monitoring, calendaring, and reporting on legislative proceedings as requested.
-Acting as a backup to the MOA and MURA on systemwide conferences and other workflow needs.
-Maintaining legislative contact database and distribution lists.
-Attend internal staff meetings.
-Planning, scheduling, and coordinating legislative visits for Trustees, budget advocacy, and senior level executives, including preparation of briefing materials.
-Scheduling legislative meetings for ASR AVC and DSR.
-Support planning and execution of ASR events as needed.
Administrative Team Support:
-Answer primary phone line for office, handling callers’ requests and transferring them to appropriate staff.
-Replace printer ink, refill paper, let MOA know of needed supplies, collect and distribute mail.
-Other admin duties as needed/assigned.
Qualifications
This position requires:
-Position requires a minimum of an Associates of Arts or an equivalent degree and at a minimum of three years of progressively responsible administrative experience, preferably in a legislative or advocacy office. Bachelor’s degree preferred but not required.
-Demonstrated organizational ability and ability to manage complex processes.
-Knowledge of the legislative process and protocols, preferably in California.
-Ability to clearly communicate verbally and in writing.
-The incumbents’ legislative experience should reflect their specific knowledge of the legislative process, rules, and committee functions and activities. Incumbent must possess a professional demeanor, advanced writing and proofreading skills, a comfort level working with system website, and an ability to interface with senior level executives and California legislators or senior level legislative staff.
