Community Affairs Assistant

Salary: $44,369/annually
General Description and Classification Standards Manages and maintains the overall operations of the facilities for all community affairs such as ballfield reservations, outdoor courts, and pavilion rentals. Duties and responsibilities include but are not limited to: reviewing and processing permit requests; providing quality customer service to all internal and external customers; and processing associated paperwork.
Supervision Received Works under direct supervision and follows standardized procedures and written instructions to accomplish assigned tasks.
Essential Duties & Responsibilities Primary job duties take precedents. Community Affairs Assistant must be able to fulfill his/her primary job tasks to be eligible and referred. These are typical responsibilities for this position and should not be construed as exclusive or all inclusive. May perform other duties as assigned.
- Manage Parks reservationist email, Parks Reservations phone calls during normal business hours, and Reservations Voicemail
- Manage in person/over the phone reservation request
- Generate and distribute weekly report (public, APD, Council, internal)
- Schedule and lead Reservations Weekly meeting
- Manage reservations (ballfields, outdoor courts)
- Compose Pavilion Reserved cards and print for interdepartmental deliveries
- Manage schedules for lights, water, electricity (ballfields, outdoor courts, pavilions)
- Respond to Ballfield Rain Out emails and phone calls to include issuing ballfield, outdoor courts refunds
- Monitor rental and be visual of constituents in facility
- Conduct pre and post inspections of ballfields.
- Arrange and manage Ballfield Random Selection Lottery
- Generate Random Selection process revenue reports
- Notify all reservation cancellations via email to District Manager, Parks Operations Manager and CC Special Events Manager
- Attend all required staff meetings and trainings
- On call weekend - rotation
- Other duties as assigned

- Knowledge of City of Atlanta rental rules and regulations
- Excellent customer service skills (completed COA Customer C.A.R.E training)
- Professional
- Basic computer skills
- Knowledge of iParcs registration system
- Proficient organizational skills
- Good oral and written communication skills
- Ability to plan and organize requests and maintain appropriate documentation.
Minimum Qualifications - Education and Experience High school diploma or General Equivalency Diploma (GED).
1-3 years' of progressively responsible related experience required
Any equivalent combination of education, experience and training which provides the requisite knowledge, skills, and abilities for this job.
Preferred Education & Experience 3-5 years' of progressively responsible supervisory experience in public relations preferred.
Licensures and Certifications None required.
