    JOB SUMMARY

    JOB SUMMARY
    Staffs the circulation desk at the public library; registers patrons, checks out materials, answers multi-line telephone system; troubleshoots patron access to online materials; collects fines and fees; shelves and maintains stack areas; assists with library programs; and performs related duties.

    ESSENTIAL FUNCTIONS AND DECISION MAKING

    ESSENTIAL FUNCTIONS Staffs the Circulation Desk:
    • Work hours include mostly evenings and weekends.
    • Answers and directs incoming calls to appropriate staff.
    • Serves as backup for basic phone reference, referring customer to librarian when needed.
    • Responds to patron inquiries and complaints; explains the Library policies, procedures, programs, and fees to customers.
    • Books meeting room using online reservation system, verifies usage agreements, and manages room access.
    • Registers customers for programs, classes, and events using dedicated registration software.
    • Uses online catalog and knowledge of stacks to help locate library materials for customers. Refers more complex questions to other library personnel as necessary
    • Assists patrons in utilizing library equipment including computers, printers, photocopiers, PC reservation system, and the online catalog.
    • Assists patrons using their own equipment to access the library’s eBooks, downloadable audiobooks, eMagazines, Mango Language instruction, and other databases.
    • Registers patrons for library cards. Updates, and maintains patron records. High degree of confidentiality and accuracy is required.
    • Assists in creation of enhanced library cards including document verification for eligibility.
    • Collects, processes, and records library fees and fines; provides receipts and change to patrons. Performs routine maintenance on credit/debit card machine.
    • Checks materials in and out; activates/deactivates security tags, places items on hold; processes renewals.
    • Empties book drops, including drive-through location; inspects materials for damage; processes and routes items to appropriate locations.
    • Responds to book theft detection security alarms; takes appropriate action.
    • Routinely monitors library use and responds to patrons that do not comply with library behavior policy.
    • Files incident reports in a timely fashion when needed.
    Performs shelving, stack, and reading room maintenance:
    • Sorts and shelves library materials in accordance with Dewey Decimal and alphabetic systems; audits shelves for accuracy.
    • Dusts and maintains shelves; shifts materials as assigned; does shelf reading.
    • Maintains the library reading room; straightens tables and chairs; removes stray paper; puts away materials customers have finished using.
    • Provides assistance updating and maintaining special book displays and bulletin boards.
    • Assists with assembling new shelving units.
    • Cleans and repairs CD and DVD discs and troubleshoots machine when not functioning.

    3. Provides assistance with library programs and/or special events:
    • Helps explain and promote library programs.
    • Gathers and organizes program supplies.
    • Sets up tables, chairs, and/or refreshments for library programs.
    • Assists with programs for all ages including puppet shows, story time, arts & crafts, and other special events.
    • Distributes reading program certificates and prizes.
    • Helps prepare and distribute publicity materials; photocopies and scans documents, cutting, and folding.

    4. Miscellaneous:
    • Assists with processing periodicals, tax forms, or other assigned library materials.
    • Searches for lost, missing, and overdue items. Deletes withdrawn materials from database.
    • Assists with opening and closing duties including locking up the library at night.
    • Attends staff meetings and training programs.
    • Helps train adult volunteers to shelve.
    • Assists in onboarding and training of new clerks and pages.
    • Performs other related duties as assigned or required.
    • Assists with preparing overdue notices and billing for lost materials.
    • Assists with outreach events promoting library services.
    • Posts to library social media accounts.

    DECISION MAKING
    • This position makes many decisions following library policy, especially when working at the circulation desk. Clerks are authorized to waive fines, issue temporary library cards, and exceed circulation limits as needed to serve the customer.
    • They escalate issues to their supervisor, library director, or the manager-on-duty.


    MINIMUM QUALIFICATIONS (Salary is dependent upon qualifications)

    Minimum Requirements
    • High School Diploma or equivalent is required.
    • One (1) year clerical or customer service experience is required.
    • Depending on area of assignment, a valid Driver's License may be required.

    JOB DIMENSIONS
    • Must be able to read/comprehend library policies and documentation. Must be able to prepare and proofread correspondence, minutes, forms, etc.
    • Effective verbal and written communication skills are required; must be able to maintain positive working relationships with City departments and personnel, outside agencies, vendors, volunteers, patrons, and the general public.

    PHYSICAL DEMANDS AND WORKING CONDITIONS
    Physical requirements include lifting up to 45 pounds occasionally. Subject to vision constantly; standing, walking, lifting, carrying, reaching, handling, fine dexterity, hearing and talking frequently; sitting, pushing/pulling, kneeling, bending, twisting, climbing and balancing occasionally; crouching rarely.

    Working conditions involves occasional exposure to infectious diseases and irate members of the public.
