    PROBATION DEPARTMENT

    The County of El Dorado, Probation Department is committed to providing public safety through collaborative partnerships and innovative practices in Corrections, with accountability and compassion.

    THE OPPORTUNITY

    Performs the more complex and difficult specialized and confidential legal secretarial and administrative support duties of considerable complexity requiring thorough knowledge of a legal department, its procedures, and operational details. Provide lead direction and training to assigned staff. Provide administrative support to management, attorneys, court officers, or law enforcement personnel and compose and prepare correspondence using considerable judgment in content and style.

    The selected candidate will have the opportunity to:
    • Provide lead direction, training, work review, and evaluation to administrative support staff; organize and assign work; set priorities and follow up to ensure coordination and completion of assigned work; review quality of work; train employees in work methods and processes.
    • Provide input into selection decisions, disciplinary matters, and other personnel decisions.
    • Draft pleadings, subpoenas, contracts, ordinances, other legal documents and correspondence, memoranda, and reports from stenographic notes, brief instructions, or prior materials.
    • Initiate specified correspondence such as transmittal letters for signature by appropriate staff; review finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate English usage.
    • Calendar and schedule court dates, meetings, and appointments for attorneys, court officers, or other law enforcement personnel; file or arrange for the filing of legal briefs and other necessary paperwork with the court.
    • Provide administrative support by assisting with duties of a complex and confidential nature related to County legal activities; act as a liaison between the department and other staff or the public; coordinate resolutions when appropriate.
    • Receive and screen visitors and telephone calls, providing information regarding the particular area of assignment, which may require the use of judgment and interpretation of policies and procedures, taking messages, or referring the caller to the proper staff member.
    • Verify and review forms and reports for completeness and conformance with established regulations and procedures; apply departmental and program policies and procedures in determining completeness of applications, records, and files.
    • Research case materials, laws/codes/statutes, legal opinions, prior judgments, and other resources to obtain information to support assigned legal cases.
    • Process a variety of legal agreements, contracts, etc., following instructions of attorneys, court officers, or other law enforcement personnel.
    • Type drafts and a wide variety of finished documents, including both general and legal-related correspondence and documents; may use word processing equipment to input or retrieve data, and prepare reports using an online computer system.
    • Relieve attorneys, court officers, or other law enforcement personnel of certain administrative matters by following up on projects, transmitting information, keeping informed of pertinent activities, and scheduling and arranging for meetings.

    Education and Experience:

    Any combination of the required experience, education, and training that would provide the essential knowledge, skills, and abilities is qualifying.

    Equivalent to graduation from high school;

    AND

    Three (3) years of legal secretarial experience providing support to attorneys, court officers, or other law enforcement personnel, or

    Two (2) years of experience at a level equivalent to the County's class of Legal Secretary II.

    Licenses and Certifications:
    • Possession of, or ability to obtain and maintain, a valid California Driver's License by time of appointment and a satisfactory driving record.

    RECRUITMENT PROCESS The Human Resources Department will screen all applications to identify qualified candidates. After screening, qualified candidates will be referred to the next step and notified of all further procedures applicable to their status in the recruitment process.

    A written exam will be utilized to determine an applicant's ranking and placement on the eligibility list. The online examination has been tentatively scheduled for 10/24/2024.     ADDITIONAL INFORMATION The County of El Dorado is recruiting applicants for Sr. Legal Secretary. This recruitment will establish a list for the purpose of filling current and future full time, part time, and extra help vacancies for at least three (3) months. In accordance with Personnel Rules 1103.1 and 1105.1, an extra help or limited term employee may be transitioned into a regular employee if the department in which the employee works has a vacant allocated position for the same classification as held by the extra help or limited term employee and the appointing authority requests such transfer.
