Currently there are two (2) part-time vacancies. Current vacancies are in Finance and Community Development. This position will work approximately 16 to 19 hours per week, including Fridays.The eligibility list established from this recruitment may be used to fill future Student Aide vacancies as they occur. The first part of the selection process is a complete evaluation of the application. Those candidates deemed most qualified in their application will be invited to a written examination, which is tentatively scheduled for August 6, 2018 . Top scoring candidates who pass the examination will be invited to an oral panel interview tentatively scheduled for August 22, 2018 . DEFINITION: To perform a wide variety of responsible and difficult clerical work in support of the function to which assigned; to provide word processing and data entry support; and to provide information and assistance to the public and staff regarding departmental policies and procedures. SUPERVISION RECEIVED AND EXERCISED: Receives general supervision from supervisory staff, professional, technical or secretarial staff. Essential Duties Duties may include, but are not limited to, the following: Provide support to the reception area; answer the telephone and wait on the general public, providing information on departmental and City policies and procedures as required; Apply departmental policies and procedures in determining completeness of applications, records and reports; provide information and forms to the public; collect and process appropriate information; Type, proofread and word process a variety of documents including general correspondence, agendas, reports, memos and statistical charts from rough draft, or verbal information; Perform a wide variety of general clerical work including the maintenance of accurate and detailed records, verifying accuracy of information, researching discrepancies and recording information; Compile information and data for statistical and financial reports; maintain a variety of statistical records; check and tabulate statistical data; Contact the public and outside agencies in acquiring and providing information; Receive, sort and distribute incoming and outgoing correspondence; Filing and sorting a variety of record types, including but not limited to plans, letter size documents, and digital records; Field work, which may require driving a Cityvehicle;and Perform related duties as assigned. Qualifications To perform this job successfully, an individual must be able to perform each essential function. The requirements listed below are representative of the knowledge, skill, and/or ability required. Knowledge of: English usage, spelling, grammar and punctuation; Modern office practices, procedures, methods and computer equipment; Basic record keeping methods and procedures; and Basic word processing methods, techniques and programs. Ability to: Learn and correctly interpret and apply the policies and procedures of the function to which assigned; Perform general clerical work including maintenance of appropriate records and compiling information for reports; Word process at a speed necessary for successful job performance; Operate office machines and computers; Depending on assignment may be required to frequently lift 40 pounds; reach above the shoulder, bend and stoop to move materials; Understand and carry out oral and written directions; Perform simple mathematical calculations; Communicate clearly and concisely, both orally and in writing; Regularly and predictably attend work; Follow direction from a supervisor; Understand and follow posted work rules and procedures; Accept constructive criticism; and Establish and maintain cooperative working relationship with those contacted in the course of work. Experience & Education and License/Certificate A combination of experience and training that would likely provide the required knowledge and abilities may be qualifying. A typical way to obtain the knowledge and abilities would be: Experience: Six (6) months of clerical, receptionist, and/or office support experience. Training: High school graduation or equivalent with current enrollment or recent completion of a degree or certification program. License/Certificate: Possession of, or ability to obtain, an appropriate, valid California driver's license.
