About Our Job The Office of Mayor Michael B Hancock is seeking a Staff Assistant. This position is perfect for the professional that takes pride in effectively managing numerous responsibilities while maintaining a calm and welcoming environment. The person in this position will primarily serve as the Receptionist and first point of contact for the Mayor's Office. He/she will occupy the front desk and interact daily with the Mayor, mayoral appointees, elected officials and constituents. Professional appearance and demeanor, reliability, punctuality, confidentiality and proficient skills in MS Office 2007 or later will be of the utmost importance in this role. This office looks calm on the surface, but the environment is often extremely fast paced. If you thrive on being where the action is then this may be the job for you! The Mayor's Office is open from 8:00 am - 5:00 pm. The successful candidate must be present to greet visitors, answer telephone inquiries and/or refer callers to the appropriate city agencies during these hours. Additional duties will include, but are not limited to, the following: Provide daily support in office management, mail management and constituent services; Provide day to day administrative, operational and organizational support to Director of Administration; Coordinate accounts payable matters including, but not limited to, processing invoices, contracts, city council bills, staff budget ledgers, and PCard/TCard management; Coordinate disclosure process for the Mayor's Office, including review, quality control, tracking and engaging with mayoral appointees to update disclosures as needed per the direction of the City Attorney's Office; Management of Mayor's Office conference rooms; Support Mayor's staff and appointees in navigating internal and external processes; Make recommendations for implementation of new and/or revised policies, procedures and process change/improvements. About You Our ideal candidate will possess the following: Ability to manage multiple projects and tasks simultaneously with frequent interruptions Experience working in a fast-paced, professional office with daily public contact Excellent customer service skills Ability to maintain and manage highly sensitive and confidential information We realize your time is valuable, so please do not apply unless you have at least the following minimum qualifications: Education: Associate degree. Experience: Two (2) years of experience performing specialized and/or technical office support work of the type and at the level of Administrative Support Assistant IV. Education/Experience Equivalency: One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education. Additional appropriate education may be substituted for the minimum experience requirements.
