    The City of Lancaster is seeking a high-capacity, high-integrity Executive Assistant to support the City Manager—a nationally recognized, award-winning city leader known for excellence, mentorship, and impact. This is more than a support role. It’s an opportunity to step into the engine room of a rapidly advancing city and play a vital part in executing big-picture initiatives that shape communities and lives.

    We are looking for a C+ level executive assistant—someone who moves fast, operates proactively, communicates flawlessly, and understands how to manage both moments and momentum. The right person will build trust quickly and become a critical right hand to the City Manager—owning the calendar, navigating sensitive priorities, handling city business with diplomacy, and making a measurable difference every day.

    Driving Excellence Behind the Scenes

    While the full job description outlines the administrative scope, we are especially looking for someone who will:
    • Command the Calendar - Prioritize key events, board obligations, sacred personal time, and deep work blocks are prioritized without having to be reminded.
    • Act with Agency - Renew standing meetings, RSVP to events, and prepare board materials without reminders.
    • Handle Business - Complete expense reports, council agenda items, budget amendments, and reimbursements accurately and on time.
    • Build Key Relationships - Connect with council, staff, board contacts, and internal leaders to streamline scheduling and communication.
    • Own the Details - Know important recurring tasks (like birthday tracking), read and enter budgets, and prepare materials for signature.
    • Protect Priorities - Understand what deserves the City Manager’s attention—and what can wait.
    • Operate Independently - Respond to scheduling requests within 24-48 hours and anticipate needs before they arise.

    By the end of your first year, success will look like:
    • You execute your responsibilities without needing direction.
    • You manage the City Manager’s schedule with clarity, empathy, and decisiveness.
    • You understand and align tasks to the City Manager’s personal and strategic goals.
    • You navigate sensitive communications with diplomacy and professionalism.
    • You’ve built trusted connections with council members, boards, and department heads.
    • You confidently handle budget tasks, reimbursement forms, and meeting prep.
    • You’ve mastered the office’s rhythm—and enhanced its efficiency along the way


    Qualifications
    • Bachelor’s degree preferred (or equivalent experience)
    • Minimum 3 years supporting an executive leader or high-level government official
    • Proven track record of handling confidential matters with discretion
    • Ability to type 55-60 wpm; strong written and verbal communication skills
    • Strong knowledge of calendar management, executive correspondence, budget reading/preparation, and expense processing
    • Ability to build relationships across departments, boards, and elected offices
    • Must have a valid driver’s license
