This position supports the high school building athletic director in basic secretarial practices and procedures. The employee will help monitor student athletes throughout the school year.
ESSENTIAL JOB FUNCTIONS1. Assists in monitoring student athletic eligibility.
2. Answers telephone calls, takes messages and routes calls to appropriate staff members.
3. Types forms, requisitions, reports, and files correspondence as directed by the Athletic Director or Activity Coordinator.
4. Orders letters, certificates and other items and distributes to the appropriate groups.
5. Confirms transportation needs for extra curricular events and makes changes in scheduled transportation as needed
6. Assists in maintaining records of transportation costs as well as monitoring athletic team budgets.
7. Assists in monitoring and submitting coaching payroll to the district Athletics and Activities Office.
8. Assists in informing coaches of the proper procedures regarding clearance of student athletes.
9. Assists in confirming officials for extra curricular events and makes changes with the assignors as needed.
OTHER JOB DUTIES1. Performs other related duties as assigned.
CONDITIONSWorks with students and coaches in outdoor playing fields, indoor and outdoor courts, gymnasium, swimming pool or other sports facilities; may be exposed to infectious diseases and, at times, inclement weather.
Education and ExperienceHigh school graduation or equivalent with training in secretarial procedures.
Allowable SubstitutionAny combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Knowledge, Skills and AbilitiesKnowledge of building, Tacoma School District, and Washington Interscholastic Activities Association (WIAA) policies, regulations, procedures and guidelines.
Knowledge of correct grammar, spelling and English usage.
Keyboarding skills.
Skill in operating a variety of office machines.
Effective written and oral communication skills.
Ability to use a variety of computer programs, including word processing.
Ability to set and maintain an accurate filing system.
Ability to work effectively under pressure situations.
Ability to maintain confidentiality.
Ability to establish and maintain effective work and student relationships with a variety of people in a multi-cultural, diverse socio-economic setting.
