- Assist section leads with grant management and reporting (e.g. financial management system, correspondence, application submissions, etc.).
- Create and maintain spreadsheets and databases related to budgets and other fiscal records, expenditures and payments.
- Receives, logs, sorts, and distributes section’s mail and supervises the dispatch of outgoing mail.
- Inventory and order supplies and equipment.
- Prepare copies, correspondence, and print requisitions.
- Prepare, organizes, and maintains files.
- Provide assistance with managing various conference logistics, on-site registrations, dissemination of materials, preparing agendas/meeting minutes, and taking follow-up action.
- Provide technical support to stakeholder inquiries via email and phone, which includes serving on the Front-Line team by answering general phone calls to the Department.
- Review/proofread manuals, documents, contracts including Invitation for Bids (IFBs), Request for Purchase (RFPs), invoices (Departmental Purchase Request (DPR) and expense accounts) and technical reports.
- Demonstrate regular, reliable, and engaged attendance.
Minimum Qualifications: - High school diploma or equivalent.
- Minimum of three years’ experience in progressively responsible administrative duties.
