    $3,650.35/month

    Location: Bryan, TX

    The Business Coordinator I will primarily perform business activities for the Infrastructure Training & Safety Institute. This person, under general supervision, provides support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents, and assisting in developing, monitoring, and reporting accounts as directed by supervisor. Primary duties will include processing purchase vouchers and requisitions, monitoring past due AR, assisting with inventory, and class audits through delivery record review. This position will assist in all other duties within the ITSI Business Services department as a support function for ITSI.

    The Business Coordinator I will report to the Business Manager.

    Required Qualifications:
    • Bachelor’s degree and two years of related experience in general office, accounting, or personnel operations or equivalent combination of education and experience.


    Required License/Certifications:
    • Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.


    Preferred Qualifications:
    • Two or more years related experience in accounting/business operations.


    Physical Requirements:
    • Ability to communicate effectively orally and in writing.
    • Ability to regularly use computer/keyboard/telephone.
    • Ability to sit for extended periods of time in an office environment.


    Knowledge, Skills, and Abilities:
    • Working knowledge of word processing, spreadsheet and data entry applications, standard office equipment and personal computer. (i.e. Microsoft Word, Excel, PowerBI)
    • Working knowledge of business principles and ability to perform basic and complex calculations.
    • Strong verbal and written communication skills to communicate and interact effectively with members of the public, to respond to public inquiries in a timely manner, to implement new systems and procedures and to evaluate their effectiveness.
    • Excellent customer service skills.
    • Attention to detail and accuracy in processing.
    • Ability to multitask and work cooperatively with others.
    • Ability to plan and organize work effectively and prioritize objectives with a high level of discretion and independent judgement and initiative.
    • Ability and willingness to work more than scheduled hours upon request, and to accept calls outside of normal working hours and expeditiously return to work as needed to support PWRT emergency response.


    Equipment:
    • Standard office equipment: computer, keyboard, multifunctional printer, telephone.

    • This position requires compliance with state and federal law/codes and Texas A&M University System/TEEX regulations and procedures.
    • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.
    • Ability to travel independently to other and/or remote locations by driving a personal or TEEX vehicle and/or flying on commercial airlines.
    • As part of TEEX’s mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position’s Division Director/HQ Department Head.


    Essential Duties, Tasks, and Percentages:

    Accounts Payable (Purchasing) - 60%
    • Prepares, verifies, and processes purchase orders and purchase vouchers; ensures proper coding on documents.
    • Serves as the primary point of contact for the preparation of Division Blanket and One-time Purchase Orders following State, TAMUS, and TEEX policies, procedures, and guidelines.
    • Responds to inquiries from vendors and TEEX personnel concerning Blanket and One-Time Purchase Orders.
    • Ensures compliance with State, TAMUS, and TEEX purchasing policies and guidelines.
    • Communicates TAMU, TEEX, and ITSI purchasing policies and procedures to Division staff.
    • Provides input and assists in developing policies, procedures, and guidelines.
    • Coordinates with new and current vendors on the completion of Supplier Information forms in compliance with the TEEX Federal Small Business Program.
    • Set up new accounts with vendors for the division.


    Accounts Payable/Inventory - 35%
    • Assist Property Manager with mid-year and annual inventory review.
    • Assist with fleet management.


    Assist with year-end and new year start-up activities - 5%
    • Prepares documents and reports for year-end and new year start-up activities.


    Other Duties:
    • Performs additional work duties as assigned.
