This position will require the ability to handle multiple tasks, set priorities, and maintain organization while supporting the sheriff and undersheriff.
This job requires a mix of organizational skills, attention to detail, confidentiality, and the ability to communicate effectively with the staff and the citizens of Jefferson County.
- Provide administrative support to the sheriff and undersheriff. Manage daily office operations. Serve as a liaison between the sheriff and staff on administrative matters. Prioritize workload; attend meetings with, or for, the sheriff as needed. Prepare briefings on the substance of the meetings. Represent the sheriff in communications when dealing with the public, community groups, agencies, and representatives from other governmental institutions.
- Develop content and draft informational and actionable briefs directed to legislators, commissioners, elected officials, sheriff’s command staff, and sheriff’s rank and file on a wide variety of subjects as directed by the sheriff or undersheriff.
- Prepare and distribute correspondence. Draft and issue responses to email messages. Issue email messages from the sheriff’s private account. Interact with staff on emails referred to their response. Track the status and ensure responses to emails are timely and complete.
- Update and maintain appointment calendars for the sheriff and undersheriff. Coordinate conference attendance and travel arrangements. Coordinate meetings for the sheriff and other officials, or the public. Ensure availability of rooms, equipment, and materials. Serve as a recording secretary in meetings.
- Use computerized data entry equipment and various word processing, spreadsheet, and file maintenance programs to enter, store, and retrieve information. Process statements and bills for payment. Prepare purchase requisitions and order supplies. Receive and verify deliveries of supplies and statements/invoice for accuracy. Assist the sheriff in preparation of budget, and monitoring expenditures.
- Receive phone inquiries and provide information based on the considerable knowledge of programs or activities at the sheriff’s office. Determine that messages and requests are routed to the appropriate people.
- Provide special project coordination, research, and writing as needed to implement sheriff’s priorities. Work in conjunction with other staff to provide research, support materials, and presentations on matters to meet defined policies and priorities.
- Serve as a resource to all executive leaders’ administrative support staff at the sheriff’s office.
