Why you’ll love this position:The Missouri Department of Mental Health (DMH) seeks an Administrative Assistant to support the Director of Human Resources (HR) and team.
The HR Administrative Assistant will support the Office of Human Resources in leading department projects to develop consistent HR practices across the department. Additionally, Office of Human Resources provides direct HR services to central office team members in the Division of Behavioral Health (DBH), Division of Developmental Disabilities (DD), Division of Administration and the Director’s Office.
You will be a part of a process improvement effort across the department and will have the ability to support impactful changes critical to ensuring quality data and consistency from which the department makes critical decisions. You will have the opportunity to work with and assist team members across the state, providing variety in daily work. You will learn HR foundations and develop a unique skillset needed for our continuous improvement efforts as we strive to better use data for impactful decision-making processes.
Responsibilities: - Provide high-level administrative support and assistance to the Director of Human Resources and other assigned staff.
- Serve as logistics coordinator for initiatives, trainings, and events.
- Assist with initiative tracking, data management, and HR dashboards.
- Perform clerical and administrative tasks including calendar management, proofreading, drafting letters, memos, expense reports and other documents for staff.
- Arrange travel and accommodation for staff.
- Schedule and attend meetings (as needed), note-taking and minutes, creating agendas, and coordinating all meeting logistics (food, materials, speakers, travel, etc.).
- Receive incoming communication on behalf of staff, review contents, determine importance and summarize and/or distribute contents, as appropriate.
- Provide phone coverage for the Director and staff as needed.
- Provide support to the Department Director’s Office as needed.
- Perform office tasks including record maintenance and ordering of IT equipment, supplies, and office equipment/furniture.
- Some travel may be required.
- Perform other related duties as assigned.

- Technology skills - Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Proficient with Microsoft Office Suite with the ability to learn new or updated software. Ability to create promotional flyers, newsletters and update webpages.
- Travel to facilities/locations - 10% annual travel may be required for in-person meetings, trainings, and events.
- Ability to move light objects weighing less than 30 lbs. short distances.
Eligibility: - High school diploma required, associate degree from an accredited university or college strongly preferred. Five or more years of professional experience as a Lead Administrative Support Assistant also required.
