job descriptionThe Water Executive Office - Loans & Grants intends to fill one (1) Senior Administrative Clerk position.
The duties of the position include, but are not limited to the following: • Assists in the preparation of documents related to Federal and State loans and grants for capital improvement projects including, but not limited to, applications, claims for reimbursement, and reports by gathering and consolidating environmental requirements, financial documents, and project information such as financial statements, budget projections, plans and specifications, Board resolutions, maps, and engineering reports; Assists in the submission of monthly and quarterly reports by entering, updating, and retrieving information retained in databases and/or spreadsheets; Collects, sorts, classifies, indexes, cross references, and files correspondence, reports, and other related paper and electronic documents; Summarizes, checks correctness, and interprets data when required; Types and mails routine correspondence to other Department divisions, City departments, and Federal and State agencies; Performs proofreading and basic arithmetic for accuracy of related documents
• Performs clerical support functions such as budget and cost tracking, research, and maintaining spreadsheets and/or databases that require familiarity with the Department's various contract and budget information systems including but not limited to Hyperion Planning Budget (HPBudget), Responsibility Cost Accounting System (RCAS), Decision Support System (DSS), Contract Management System, Contract Administrator Web (CAWeb), Electronic Request, Solicit & Procure (eRSP), Maximo, and On-Demand
• Performs other related clerical duties
• May be assigned other work within the Section for cross-training purposes and to meet operating needs
• Provides general clerical support to the Loans & Grants Office
Skills, Knowledge, and Abilities and other qualifications by interview or other means, as specified: • Ability to organize, prioritize, and complete various assignments with little or no supervision
• Ability to gather, organize, and analyze data
• Knowledge of City policies and procedures; general office procedures and practices pertaining to clerical work and correspondence; records management and filing; review and processing of invoices; and preparation of grant and loan- related reports and claims for reimbursement
• Ability to exercise independent judgment, prioritize work, complete tasks in a timely manner, and comprehend and follow oral/written instructions
• Interpersonal, written, and oral communication skills
• Knowledge of and ability to use standard mainframe and personal computer applications, including Adobe Acrobat, Microsoft Word, Microsoft Excel, Microsoft Access, Microsoft PowerPoint, Microsoft Outlook, and Intranet/Internet
A valid California Class C Driver’s License is required and must be maintained during the course of employment.
