Temporary Business Process Specialist to provide critical support to the
Department Director, Deputy CFO , and executive leadership team. This role is ideal for a highly organized, detail-oriented professional who thrives in a
fast-paced environment and is passionate about
process improvement, executive support, and strategic coordination.
Key Responsibilities:
- Research & Analysis: Gather data, analyze information, and prepare reports with actionable recommendations for executive decision-making. Summarize findings in well-structured reports, presentations, and correspondence.
- Executive Support: Manage complex calendars for the Director and Executives while keeping staff informed of key issues and concerns.
- Cross Department Coordination: Facilitate communication and collaboration with internal teams, the City Manager’s Office, and Council offices as needed.
- Information Management: Handle incoming correspondence, memos, and reports, assessing their relevance and ensuring timely responses. Maintain strict confidentiality regarding sensitive information.
- Stakeholder Engagement: Welcome visitors, respond to inquiries, and provide information to both internal and external customers.
- Meeting & Presentation Support: Work with the FSD executive team to develop agendas for Core and Leadership Team meetings. Prepare high-quality presentation materials for executive staff.
- Event & Project Management: Assist in planning quarterly and annual meetings, special projects, and events. Coordinate meals and logistics for meetings, including evenings and weekends as needed during peak periods (e.g., budget season).
- Issue Resolution & Follow-up: Track key initiatives, ensure timely follow-up, and facilitate the completion of action items.
