    CAREER DESCRIPTION

    Procurement Assistant

    (Staff Assistant)

    This position is scheduled for salary increases as follows:

    Effective June 27, 2025 - 4.00%

    Salary may be negotiable within the range listed above, based on position requirements and successful candidate's qualifications, subject to appropriate authorization.

    OPEN TO THE PUBLIC
    This recruitment will establish an open eligible list that will be used to fill current and future Staff Assistant vacancies.
    The eligible list established may also be used to fill position in similar and/or lower classifications thought the County of Orange.

    DEADLINE TO APPLY

    THE OPPORTUNITY

    The County of Orange - Procurement Office has an exciting opportunity for a Procurement Assistant. Depending on the assignment the successful candidate will be responsible for a variety of analytical and administrative support as it relates to procurements and contracts.

    The ideal candidate will have experience with the following competencies:

    Technical Knowledge | Technical Experience
    • Using Microsoft Office programs such as Word, Excel, Outlook, and Power Point.
    • Ability to analyze, organize, and present data through various reporting tools.
    • Graphic design abilities for the creation of marketing and training materials.
    • Ability to multitask and manage the coordination of scheduling various meetings and events.
    • Support staff with solicitations and contract management tasks.
    Critical Thinking | Analysis
    • Integrating information from different sources to support sound decision-making.
    • Analyzing problems in the context of available information and program constraints.
    • Balancing many projects and consistently delivering timely and accurate results.
    • Selecting appropriate performance measures and outcomes to track and measure results using independent judgment.
    Communication Skills | Oral and Written
    • Communicating with peers, management, suppliers, members of the public, and city or county staff to achieve business objectives and foster effective working relationships.
    • Demonstrating a positive attitude and eagerness to learn.
    • Using diplomacy when dealing with challenging situations.
    • Communicating effectively by presenting thoughts, ideas, information, and messages, concisely, logically, and persuasively both orally and in writing with correct punctuation and spelling.
    Customer Service | Interpersonal Skills
    • Providing excellent customer service to external and internal stakeholders, management, consultants, contractors, and members of the public.
    • Flexibility with changing deadlines and assignments.
    • Multitasking and being able to work well in a fast-paced environment.
    • Working independently and efficiently while providing accurate results and adhering to office policies and procedures.
    • Maintaining client confidentiality while adhering to the laws.
    • Receiving directives from management and following through.
    • Promoting an environment of teamwork and positivity.

    RECRUITMENT PROCESS
    Human Resource Services (HRS) will screen all application materials to identify qualified applicants. After screening, qualified applicants will be referred to the next step and notified of all further procedures applicable to their status in the competition.

    Application Screening (Refer/Non-Refer)
    Applications and supplemental responses will be screened for qualifications that are highly desirable and most needed to successfully perform the duties of this job. Only those applicants that meet the qualifications as listed in the job bulletin will be referred to the next step.

    Online Assessment(s) (Proctored, 100% Weighted)
    Applicants who meet desirable qualifications will be invited to participate in one or more job related assessments. Applicants will be notified of their test date and access code, if applicable. Only the most successful candidates will be placed on the eligible list.

    Eligible List
    Once the assessment has been completed, HRS will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.

    Based on the County's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedures.
