    Administrative Assistant

    Business Opportunities and Community Solutions Divisions

    Harry S Truman Building - 301 W. High Street, Jefferson City, MO

    SALARY: $44,000.00 - $46,000.00 (based upon credentials)

    NOTE: Internal Payroll Classification is: Administrative Support Professional

    Reports to: Community Solutions Division Director

    • Maintenance of data, files, and documents management, including easily accessible document repository, document routing, creation of office and department forms for process improvements, elimination of document redundancy, version management, archiving, and managing retention schedules.

    • Create and maintain spreadsheets for ongoing project tracking.

    • Provide Archive files per retention schedule. Coordinate and order/return archived files with the Secretary of State for multiple programs with the Community Solutions and Business Opportunities divisions.

    • Maintain discretion when dealing with sensitive and confidential information.

    • Schedule meetings and coordinate logistical arrangements for staff and attendees.

    • Assist onboarding of new staff by setting up system accesses, establishing logins, and ensuring necessary equipment is available before the start date.

    • Provide support to all members of the Community Solutions and Business Opportunities divisions to arrange and book travel.

    • Assist in tracking, scheduling, and booking staff attendance at events and/or conferences. This would include arranging accommodations, transportation, etc.

    • Maintain shared supply inventory and order supplies for team members as needed as well as reporting to leadership itemized summaries of all orders.

    • Manage incoming communications to divisions, including answering or routing incoming telephone calls, processing mail, and general inboxes as needed.

    • Support external communications from the divisions, including preparing outgoing and incoming communications.

    • Perform other duties as assigned.

    • Comprehensive knowledge of business math computations, grammar, composition, and spelling.

    A self-starter with the following skills:

    • Proficient in organizing complex tasks and setting priorities from general instruction to achieve established goals.

    • Ability to maintain highly complex records and prepare reports from a variety of information.

    • Ability to apply and interpret federal, state, and/or agency regulations, policies, and procedures.

    • Ability to make independent decisions based upon knowledge of agency operations, policies, and procedures.

    • Comprehensive knowledge of the Microsoft Office Suite applications.

    • Strong aptitude for rapid system and process learning.

    Qualifications :

    • Four or more years of office or related clerical experience; and possession of a high school diploma or proof of high school equivalency.

    Earned credit hours from an accredited college or university may be substituted on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.
