GENERAL DESCRIPTION Under the direction of the Chief of Staff for the Executive Office, this position is responsible for providing advanced (senior-level) professional assistance work for multiple executives, which includes providing professional assistance, overseeing highly complex administrative operations, and performing duties to support the Executive Office (EO). Provides administrative support to the Chief Operating Officer, Chief of Staff, Director of Communications, Chief of Land & Conservation Initiatives, and assists the Government Relations team as needed, including coordinating travel arrangements and expense reimbursements (hotel, airline, vehicles, vouchers, and authorizations). This position may include some purchasing for the EO and may also coordinate with the EO's Executive Assistants and Program Management Specialist regarding daily tasks necessary to support operational needs of the EO. Assists Division Directors as needed (Travel authorization signatures, letters, forms, signature approval routing), and routing documents for Executive signatory approvals.
The Executive Assistant represents the EO in an exemplary manner with a customer service-oriented attitude, while providing highly advanced executive support. As the lead receptionist, strong verbal and written communication skills are required for answering a high volume of incoming calls through a multi-line phone system and routinely processing confidential and sensitive information. Greeting visitors and interacting with Texas Parks and Wildlife Department (TPWD) staff, the public, state, and federal agency representatives, as well as legislative and congressional offices, is required.
Support includes logging mail and correspondence into the agency's tracking system, reviewing and editing agency correspondence and reports, assisting with records retention, coordinating and/or assisting with the purchase of office supplies, processing receipts of deliveries in the CAPPS Financial system, and knowledge of and familiarity with TEAMS, Adobe Suite, SharePoint, and OneDrive for coordination of cross-divisional input to Agency information and data. Performs as a team player in fulfilling other administrative duties required to support the needs of the EO, which may include preparation for the Texas Parks and Wildlife Commission meetings. Capability to multitask daily and perform additional duties as assigned is required.
Must be very detail-oriented; enjoy working in a dynamic, fast-paced environment; and be able to adapt as circumstances required. In addition, the ability to exercise good judgment in all situations is required. Must be able to work under pressure, with frequent interruptions, to perform a variety of activities, while maintaining strict confidentiality in all matters.
Must maintain professional working relationships with Agency staff and individuals served by TPWD, as well as represent the EO or TPWD at meetings or functions. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Performs additional duties as assigned. Complies with all Agency, Division and Branch rules, regulations and procedures.
Qualifications: MINIMUM QUALIFICATIONS Education: Graduation from an accredited college or university with a Bachelor's degree in Business Administration or closely related field.
Experience: Three years of progressively responsible experience with complex administrative and support programs involving executive level administrative support and general office management in an automated environment.
Licensure: Must possess or be able to obtain, within 30 days of employment, a valid class "C" Texas driver's license.
NOTE: Retention of position contingent upon obtaining and maintaining required license.
ACCEPTABLE SUBSTITUTIONS Education: One additional year of experience may substitute for 30 hours of the required education, with a maximum substitution of 120 semester hours.
PREFERRED QUALIFICATIONS Experience: Experience in Texas State Government;
Experience with TPWD business practices;
Experience in reviewing and editing documents;
Experience in working with Texas state or local government public meeting process.

May be required to travel 5% with possible overnight stays;
